Primary Purpose
As an Operations Assistant at JLL, you will support our team in delivering operational initiatives, ensuring smooth daily functions, and contributing to the success of our retail environments. Responsibilities include supporting the General Manager and Operations Manager for the Croydon Estate, focusing on asset performance, H&S, vendor management, and budget control.
Key Objectives
- Implement and maintain operational procedures in the shopping centre.
- Conduct centre inspections and liaise with retailers to resolve issues.
- Manage service charge budgets and assist with financial reports.
- Coordinate with contractors and vendors to meet service standards.
- Support sustainability and energy efficiency initiatives.
- Organize safety drills and emergency preparedness activities.
- Create and maintain management documentation and reports.
Key Responsibilities
- Deputize for the Operations Manager and act as Duty Manager when needed.
- Oversee operational and facilities management.
- Ensure compliance with insurers’ requirements.
- Collaborate with JLL’s IFM team.
- Prepare operational reports.
- Review and update emergency and business continuity plans.
- Support emergency training scenarios.
- Maintain the Occupiers Handbook and coordinate tenant inductions.
- Assist with landlord’s major works coordination.
- Ensure adherence to Working Practices Manual.
- Oversee accident and incident reporting.
- Motivate contractors to meet standards.
- Support shop fit plan approvals and liaise with owner’s reps.
- Foster good tenant relations.
- Perform other duties as assigned by the General Manager.
Experience, Knowledge & Qualifications
- Strong organizational and communication skills.
- Proficiency in MS Office.
- Detail-oriented with problem-solving skills.
- Experience in retail or shopping centre management is preferred.
- Knowledge of retail operations, tenant relations, and property management software.
- IOSH Managing Safely or equivalent certification.
- Understanding of health and safety regulations in public spaces.

- Operate as a unified team with property management and clients.
- Respond promptly to customer complaints to ensure satisfaction.
Contractors, Suppliers & Tenants
- Manage contract staff and ensure service standards.
- Develop strong relationships with tenants and stakeholders.
- Assist with invoice approval and coding.
Health & Safety & Environmental Responsibilities
- Ensure compliance with health, safety, and environmental laws.
- Maintain safety arrangements and participate in emergency planning.
- Promote safety and environmental awareness.
Additional Responsibilities
- Support client transactions, provide data, and coordinate site visits.
- Represent the brand positively in the community.
