Job summary

Culina is recruiting an Operations Administrator for the Chilled & Fresh division. The role focuses on driver debriefs, PODs, timesheets, and despatch processes, with hands-on use of the Transport Management System (TMS) to keep deliveries on track.

The position includes holiday and sickness cover, with shifts from 07:00 to 19:00 on weekends when required, and a seven-toology Monday-to-Friday schedule of 10:00–19:00. Strong reliability and attention to detail are essential.

Responsibilities

• Debrief drivers accurately.
• Check timesheets and PODs for completeness.
• Scan PODs and send to Culina depots.
• Prepare driver packs and issue delivery notes correctly.
• Print despatch notes and replenish despatch paper.
• Answer telephone and handle enquiries.
• Download drivers' cards / tachographs.
• Notify Customer Services of ETAs.
• Update spreadsheets and trackers regularly.
• Depart loads using the Transport Management System (TMS).
• Ensure uplifts are despatched in correct loads.
• Provide holiday and sickness cover (07:00–19:00) including weekends.

Life in this role

As part of our, Chilled & Fresh division, we have an exciting opportunity to join the team as a Operations Administrator

Salary: £30,750

Shift: Monday to Friday- 10am till 7pm. Must also be flexible to cover holidays and sick cover (7am till 7pm on weekends)

Main Responsibilities:

• Correctly debriefing drivers.
• Checking all timesheets for correct completion and ensuring all PODs are returned completed correctly.
• Scanning in of PODs and sending off to the relevant Culina depots
• Preparing drivers' packs and issuing delivery notes correctly any other relevant delivery information.
• Printing all despatch notes and replenishing despatch paper as required.
• Answering the telephone and assisting with any enquiries.
• Downloading drivers' cards / tachographs.
• Ensuring all estimated time of arrivals (ETAs) are communicated to Customer Services.
• Consistently updating relevant spreadsheets and trackers
• Departing loads using Transport Management System (TMS).
• Ensuring all uplifts are despatched in correct loads.
• To provide holiday and Sickness cover which will be 07:00 - 19:00 which can include weekends
