Job summary

Synergize Consulting in Crawley is seeking an organised Onboarding, Security Vetting & PMO Coordinator. This role combines onboarding, screening coordination and PMO support with two days per week onsite in Crawley.

You will manage end-to-end contractor onboarding, BPSS/UK vetting, and provide governance and reporting to client projects, working with recruitment, payroll and security teams. Strong admin and MS Office skills are essential.

Qualifications

• Previous experience in security vetting, onboarding, compliance, PMO or project coordination.
• Practical knowledge of BPSS screening and UK national security vetting processes.
• Experience supporting SC or DV clearance applications would be valuable.
• Strong administration, planning and organisational skills.
• Experience maintaining project plans, trackers, actions, risks and management reports.
• Excellent attention to detail and ability to manage multiple cases.
• Confident communication with candidates, employees, clients and stakeholders.
• Strong IT skills with MS Office applications.

Responsibilities

• Coordinate end-to-end onboarding of contractors, associates and permanent employees.
• Collect and validate right-to-work docs, identification, history, references and qualifications.
• Act as central contact for new starters with regular progress updates.
• Coordinate contracts, client documents, inductions, system access and equipment.
• Work with recruitment, payroll, client delivery and external vetting teams.
• Maintain onboarding trackers and resolve delays or missing information.
• Deliver a professional onboarding experience from offer to deployment.
• Initiate and monitor BPSS checks and UK vetting applications.
• Liaise with candidates, client security teams and stakeholders.
• Monitor clearance expiry dates, actions and changes in circumstances.
• Maintain audit-ready vetting records and comply with GDPR.
• Support audits and improve vetting procedures and documentation.
• Maintain mobilisation plans, trackers and RAID logs.
• Track milestones, dependencies, risks and actions.
• Prepare management information and client status reports.
• Coordinate meetings, agendas and minutes; follow up actions.
• Support resource planning and timesheet reporting.
• Ensure up-to-date programme information and identify delays or risks.
