Job summary

Oxford Brookes University is seeking an administrator for Student Support Services to provide comprehensive administrative and operational support across Inclusive Support, NMH and Mental Health and Wellbeing areas.

This 1 FTE role, with a minimum of 0.8 FTE considered, runs Monday to Friday, for six months to cover a secondment, with on-campus presence 09.00–17.00.

Internal applicants only; location Headington Campus and a supportive, student-focused team culture.

Qualifications

  • A levels (or equivalent) or relevant work experience in administration.
  • Substantial administration experience in a busy, customer-facing environment.
  • Excellent IT and organisational skills.
  • Strong verbal and written communication skills.
  • Ability to work on your own initiative and as part of a team.
  • Ability to multi-task and prioritise workloads effectively.
  • Experience handling confidential and sensitive information appropriately.
  • Professional, supportive approach with a commitment to customer service.

Responsibilities

  • Respond to and resolve enquiries with problem solving and relevant knowledge.
  • Manage and update information record systems, maintaining confidentiality.
  • Process cases using PCMIS to progress students through care pathways.
  • Handle supporting documents and create reports as required.
  • Provide a customer-focused administrative service across Student Support services.
  • Liaise with practitioners and university staff regarding student support concerns.
  • Respond to first-line enquiries via in-person, telephone, or email channels.
  • Escalate safety concerns per risk protocols to Heads of Service or practitioners.
  • Coordinate administrative processes across the academic cycle and referrals.
  • Develop and update Student Support web pages and resources.
  • Manage workload and prioritise urgent enquiries with timely responses.
  • Assist with producing process documents and meeting arrangements.
