Job summary

Argus Media seeks an highly organised Office Manager with executive support to join our London headquarters. You will oversee office operations, facilities, health and safety, and coordinate executive support for senior stakeholders and the CEO’s office.

In this role you will manage supplier relationships, plan events, and support a positive employee experience in a fast-paced, professional environment. Hybrid working and a competitive benefits package are offered.

Responsibilities

  • Ensure smooth day-to-day operation of the London office, creating a professional, welcoming and productive workplace.
  • Act as primary contact for office and facilities-related matters, coordinating with building management and service providers.
  • Manage office supplies, refreshments, stationery and general office requirements.
  • Coordinate maintenance, improvements and workspace planning initiatives.
  • Oversee relationships with suppliers and ensure value for money and timely issue resolution.
  • Maintain office records and operational processes.
  • Support workplace health, safety and compliance activities and maintain records.
  • Coordinate risk assessments, inspections and training records.
  • Manage office security processes including access control and passes.
  • Monitor cleaning, waste management and maintenance standards.
  • Coordinate servicing and maintenance of workplace equipment.
  • Support delivery of employee engagement initiatives and internal events.
  • Assist with planning and coordinating meetings, training sessions and town halls.
  • Provide administrative support to senior stakeholders, including diary management and travel arrangements.
  • Support complex scheduling across time zones and cover for the CEO's Executive Assistant when required.
  • Coordinate workload and scheduling of the Maintenance Operative and assist with procurement activities.

This is a varied and visible role that combines office management, workplace operations and executive support. You'll play a key role in creating an exceptional employee experience, ensuring the smooth running of our office environment while providing support to senior leaders.

As the central point of coordination for our London office, you will oversee workplace operations, facilities, health and safety activities, employee events and supplier management, while also providing executive support to senior stakeholders and assisting the Executive Assistant to the CEO.

You will work closely with colleagues across the business and build strong relationships with leaders, employees, service providers and external partners to ensure our office runs efficiently and delivers a positive experience for everyone.

Key Responsibilities
Office & Workplace Management
  • Ensure the smooth day-to-day operation of the London office, creating a professional, welcoming and productive workplace environment.
  • Act as the primary point of contact for office and facilities-related matters, working closely with building management, contractors and service providers.
  • Manage workplace services, office supplies, refreshments, stationery and general office requirements.
  • Coordinate maintenance activities, office improvements and workspace planning initiatives.
  • Oversee relationships with suppliers, ensuring high-quality service, value for money and timely resolution of issues.
  • Maintain office records, documentation and operational processes.
Facilities, Health & Safety
  • Support workplace health, safety and compliance activities, ensuring accurate records and adherence to company requirements.
  • Coordinate risk assessments, workplace inspections, emergency preparedness activities and training records.
  • Manage office security processes, including access control, passes and security administration.
  • Monitor cleaning, waste management and workplace maintenance standards.
  • Coordinate servicing and maintenance schedules for workplace equipment and facilities.
Team & Employee Experience
  • Support the delivery of employee engagement initiatives, internal events, town halls, meetings and training sessions.
  • Help create a positive and collaborative office culture through well‑organised workplace experiences and activities.
  • Coordinate seasonal initiatives, charitable giving programmes and employee‑focused events.
Executive Support
  • Provide administrative support to senior stakeholders, including diary management, travel and accommodation bookings, expenses and meeting coordination.
  • Support complex scheduling across multiple time zones.
  • Provide support and cover for the Executive Assistant to the CEO when required, including high-priority and sensitive matters, ensuring excellent attention to detail and confidentiality at all times.
Team Coordination
  • Coordinate the workload and scheduling of the Maintenance Operative, ensuring building‑related activities are prioritised and completed effectively.
  • Support procurement activities, supplier reviews and contract renewals where required.

  • The ability to handle confidential and sensitive information with discretion.
  • Experience supporting senior stakeholders in a professional services, corporate or fast‑paced business environment.
  • Confidence working independently while collaborating effectively across teams.
