Job description

We are looking for a confident and experienced leader to oversee the reception team and daily operations of our Bolton clinic. This key role ensures the smooth running of both ABL Health and Laserase, managing the building facilities, reception services, and administration. This role requires a strategic thinker with excellent leadership, communication, and problem-solving skills to oversee reception services, clinic coordination, and building management.

The role includes providing cover for occasional evenings and weekends as required, including during periods of receptionist absence due to annual leave or sickness.

Main duties of the job

As the Clinic & Office Manager, you will play a key leadership role in overseeing the day-to-day operations of the Bolton office, ensuring a welcoming, professional, and efficient environment for clients, visitors, and staff. You will manage a small team of reception and clinic staff, handling rota planning, performance oversight, and ensuring cover for holidays and sickness. Responsibilities include reception and customer service, responding to all communication channels (phone, email, social media, and in-person), managing appointment bookings, and supporting seamless service delivery. You will also oversee stock control, facilities management, and financial administration, including petty cash, clinic payments, and reconciliation tasks in line with company policies. A key part of the role involves ensuring compliance with policies, health and safety, and regulatory requirements, including CQC support. You will lead the clinics marketing and promotional activities, managing the website and all social media platforms (Facebook, Instagram, etc.) with engaging content and campaigns to increase brand visibility and client engagement. Strategic development is also key youll identify opportunities for service improvement, proactively resolve issues, and drive a high-quality client experience. As a keyholder, youll be responsible for opening and securing the premises, helping ensure smooth clinic operations throughout.

Job responsibilities

Main Duties and Responsibilities:

Team Leadership Manage a small reception and cleaning team to maintain a welcomingand efficient environment.

Clinic Operations Oversee the day-to-day functioning of the clinic, ensuring seamlessservice delivery.

Reception & Customer Service Handle enquiries, welcome visitors, and supportclients in a professional and friendly manner.

Stock & Facilities Management Monitor and replenish clinic supplies, manageutilities, and coordinate cleaning schedules.

Financial Administration Support financial reconciliation andadministrative tasks in line with company policies.

Regulatory Compliance Assist with CQC preparation, policy updates, andrecord maintenance under clinical guidance.

Marketing & Promotion Manage social media and content creation topromote clinic services.

Keyholder Responsibilities Ensure the building is securely opened andclosed each day.

Clinic& Office Management Ensure the smooth and secureoperation of the Bolton office, maintaining a welcoming environment forclients, visitors, and partners.

ClientEngagement & Enquiries Handle all communicationchannels (phone, email, website, social media, and in-person), providingaccurate information on Laserase and ABL Health services.

AppointmentCoordination Oversee and support the booking of appointments, ensuring staffavailability and efficient service delivery.

TeamLeadership Manage reception and clinic staff, including rota planning, holiday& sickness cover, stock control, meetings, and performance oversight.

FinancialAdministration Handle clinic payments, pettycash, banking, and company credit card reconciliation in line with policies.

Compliance& Safety Maintain clinic policies, procedures, and health & safetyrecords, ensuring compliance with local regulations.

Marketing& Client Engagement Update the Laserase website,enhance service accessibility, and optimize enquiry-to-consultationconversions. As part of the role, you will be responsible for managingLaserases social media presence across all platforms, including Facebook andInstagram. This includes creating engaging content, scheduling regular posts,responding to comments and messages, and helping to grow and maintain an activeonline community. You will play a key role in promoting the clinics services,sharing updates and campaigns, and ensuring our brand voice is consistent andprofessional across all digital channels. Experience with social media toolsand a creative approach to digital engagement would be highly beneficial.
