ROLE

The Office Manager at Cleveland & Co plays a critical role in ensuring the smooth and efficient operation of the office. This includes managing administrative tasks, coordinating office activities, and providing proactive support to the leadership team and staff. The ideal candidate will be a highly organised, resourceful, and solutions-driven professional who fosters a positive and productive work environment.

KEY RESPONSIBILITIES
Office Operations Management
  • Oversee daily office operations to maintain an organised and professional environment.
  • Manage office supply inventory, ensuring replenishment as needed.
  • Maintain relationships with vendors, service providers, and building management to ensure efficient services.
Administrative Support
  • Provide comprehensive administrative support to senior leadership and team members.
  • Manage correspondence, including emails, incoming/outgoing mail, and package handling.
  • Develop and maintain robust filing systems (both physical and digital) for document storage and retrieval.
HR Coordination
  • Coordinate the onboarding of new team members, ensuring they have all necessary resources and information.
  • Foster an inclusive and welcoming onboarding experience, helping new employees integrate into Cleveland & Co's unique culture.
  • Maintain accurate employee records, contact lists, and staff directories.
  • Organise and facilitate company events, team meetings, and staff training sessions.
  • Track and manage office-related expenses and assist with preparing monthly expense reports.
  • Support the finance team in processing invoices, managing budgets, and basic bookkeeping tasks.
Compliance and Safety
  • Ensure that Cleveland & Co adheres to health and safety regulations, conducting regular checks and updates as needed.
  • Maintain records for office equipment inspections and ensure timely repairs.
  • Act as the designated point of contact for emergency procedures and security-related concerns.
Technology and Systems Management
  • Coordinate with IT support to troubleshoot and resolve technical issues affecting office operations.
  • Manage software licenses and subscriptions, ensuring timely renewals and compliance with IT policies.
QUALIFICATIONS
Education and Experience
  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • 5+ years of proven experience in office management or administration within a professional services environment.
Skills and Competencies
  • Exceptional organisational and multitasking abilities.
  • Strong communication skills (both verbal and written) with a professional and approachable demeanour.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management tools.
  • Basic knowledge of financial reporting and expense management.
  • Discretion when handling sensitive and confidential information.
