Job description

We are currently working with a client based in Central London who are recruiting for an Office Support Manager to join their team.

The Role
As the Office Support Manager, you will be a member of the Management Team and have a pivotal role in the day-to-day operations of the business. This is a unique and diverse role, covering many disciplines from Reception Team Management, Facilities Management, Events Management, and managing the business's online social media platforms.

As an Office Support Manager, you will provide efficient and effective administration support, including:

  1. Ensuring compliance with company, legal, and brand operating guidelines
  2. Managing customer data and marketing event activities
  3. Creating, designing, and implementing content, and managing social media platforms
  4. Managing customer relations including the day-to-day operation of the reception team, ensuring exemplary customer service standards at all times

Administration Responsibilities:

  1. Manage and be responsible for relevant sections of the company Operating Guidelines document including, but not limited to: Facilities, Mystery shop, Training Records, Starters and Leavers, Marketing
  2. Manage and be responsible for all facility issues, rectifying the requirements as efficiently as possible by liaising with the Facilities Department
  3. Ensure all new starter/leaver paperwork is completed correctly and the company process is followed
  4. Support management in formal and informal meetings with employees as required, ensuring strict confidentiality is maintained at all times
  5. Record and maintain attendance register for timely monthly submission to the Human Resources Team for payroll processing
  6. Maintain employee training records and files confidentially
  7. Prepare correspondence for managers including presentations, letters, reports, and memorandums
  8. Support the management team in preparation for Management Performance Reviews and any other meetings, audits or business initiatives as required
  9. Schedule internal and external meetings
  10. Manage and coordinate all social activities within budget

Marketing and Events Responsibilities:

  1. Plan and organise marketing activities including developing relevant business partnerships
  2. Sourcing of suitable events
  3. Supervision of on-site event teams
  4. Attend monthly Group marketing meetings
  5. Assist with and maintain the marketing plan

Customer Relations Responsibilities:

  1. Manage the day-to-day operation of the reception team including staff motivation, team reviews and appraisals, holidays, and rotas
  2. Manage customer queries and complaints quickly and efficiently, following the legal and regulatory complaints procedure to ensure that all details are recorded and kept updated
  3. Arrange temporary cover if needed

About You
As Office Support Manager, you will need to have:

  1. Previous experience within similar roles, demonstrating strong administration and customer service skills
  2. Experience managing social media accounts and organising marketing activities/events
  3. Experience managing a team, including starters/leavers, rotas, holidays, training, and appraisals
  4. Exceptional organisation, planning, and coordination skills with excellent attention to detail

Hours and Rewards
Hours 8am to 6pm Monday to Friday with a 1-hour lunch break, and occasional evening or weekends if managing a Customer Event.
