We are currently recruiting for a/an Office & Executive Assistant to join our team and contribute to key projects in a dynamic and collaborative environment.
- Manage day-to-day operations of our Headquarters (Chiswick office) to support the UK team members.
- Proactively manage the diary for the UK Country Head and other Directors’, organising complex calls/meetings across time zones
- Arrange and organize UK Country Head and other Directors’ travel using Egencia, including but not limited to hotels, transfers, flight bookings, detailed itineraries, visas etc
- Complete expense reports for the UK County Head and other Directors’ in SAP, reimbursement and liquidation process.
- Manage Board schedules and arrange Board of Directors meetings assisting with logistics, travel, and restaurant arrangements on the ground for visiting partiesOrganize the office layout and ensure the availability of stationery and equipment.
- Negotiate contracts and pricing with office vendors and service providers.
- Manage the budget for the overall running of the office on an annual basis and ensuring spend is approved, monitored, and reported on
- Lead and manage all maintenance matters, working with the Landlord and other contractors, as well as to report any incidents or risks in a timely manner
- Update and maintain paperwork, documents, and word processing tasks.
- Perform general office clerical duties and handle errands as needed.
- Create, maintain, and update information in the relevant databases. Implement and manage a visitor process; for other employees from other offices to be able to use the London office effectively.
- Support HR with local onboarding of new hires.
- Support H&S in the office understanding fire procedures, first aid, electrical safety, support and uphold the overall wellbeing of all office-based employees and any visitors.
- Highlight any office risks, review how they are managed and amend accordingly
- Handle confidential and delicate information with integrity and discretion

Education
- High school diploma or associate’s degree.
Personal Skills
- English Language: native.
- Spanish Language: desirable.
- Ability to work effectively with limited supervision.
- Strong interpersonal and communication skills-both oral and written-.
- Excellent organizational skills.
- A self-motivated and independent thinker with a proactive approach.
- Ability to identify, evaluate and implement alternative solutions to problems.
Experience & Technical Qualifications
- 5 – 7 years experience as an executive assistant or office assistant
- Proficiency in Microsoft Office programs (advanced Excel and PPT is a must).
- Familiarity with SAP software.
