Job summary

The London office of the company is seeking an Office Assistant to manage day-to-day office needs, handle sensitive information, and support key relationships. This part-time role operates in the London office on Tuesdays and Thursdays, with a flexible startup environment.

Job description

As the Office Assistant for the company's London branch, your role will be pivotal in managing the office's requirements. You will be a proactive professional, trusted and respected for handling sensitive information and crucial relationships.

This is a part time role and performed in the office (Tuesday + Thursday) from our London office. We'll love for you to join us!

The Impact You'll have
  • Order supplies and manage office stock within a budget - drinks, snacks, stationary and equipment as needed.
  • Ensure the office is tidy and presentable.
  • Coordinate meeting room bookings.
  • Collect deliveries.
  • Support organisation of a variety of events (team meetings, offsites, meals, parties, etc.) within a set budget.
  • Working with vendors to organise and coordinate office wellness initiatives - Tuesday lunches, office massages.
  • Promote events within our office building.
  • Liaise with the building team regarding any issues that might arise.
  • Provide general support to visitors and manage tracking.
  • Address employees queries regarding office management issues (e.g. stationery, hardware, travel arrangements).
  • Provide general office management support and handle various projects as they arise, even unexpectedly.
  • Manage swag orders and distribution.
  • Support the organisation of charity initiatives.
  • Distribute new hire kits and manage stock.
  • Send communications to the team regarding office updates, events, birthdays, training etc.
Who You Are
  • Self-motivation, excellent organisation, strong work ethic and a proactive approach.
  • Flexibility and comfort in a fast-paced, high-intensity, yet informal startup environment.
  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant.
  • Knowledge of office administrator responsibilities, systems, and procedures.
  • Experience with office management software like MS Office and Google Suite.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Strong organisational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.
  • Fluency in English.
