Job summary

Albini E Pitigliani Spa is seeking an experienced Ocean Freight Coordinator to join our Sea Freight operations team at Basildon or Manchester office. This permanent, full‑time role offers a 40‑hour week (Mon–Fri, 8:30am–5:30pm) and a salary of £30,000–£33,500 depending on experience.

You will assist in export and cross‑trade activities, manage customs declarations and invoicing, support the Head of Ocean, and maintain strong communication with customers and internal teams to improve efficiency.

Qualifications

• Minimum of 2 years Sea Export experience.
• Knowledge of Sea import or air exports preferred.
• Able to prioritise own workload and work as part of a team.
• Proficient in IT skills, e.g. Word/Excel, and systems.

Responsibilities

• Understand and execute the department's vision for developing Sea Freight business.
• Complete all Export and Cross Trade activities including financial, legal and invoicing.
• Complete customs export declaration forms accurately.
• Ensure all operational activities are completed on time.
• Report amendments to customs declarations to line manager.

Job description

We are looking for an experienced Ocean Freight Coordinator to join our Sea Freight operations department based at our Basildon or Manchester office. Job type Permanent, full time. Working Hours Monday to Friday, 8:30am – 5.30pm (including a 1-hour unpaid lunch break). 40 hours per week. Salary £30,000.000 - £33,500 per annum (salary depending on experience)

About the Role

Assist Sea Freight Operations in the execution of their duties in support of the Head of Ocean's vision of the company to become more competitive and profitable.

Key Responsibilities

• Understand and execute the departments vision of good business development in order to successfully move Sea Freight products.
• Complete all Export and Cross Trade activities correctly and on time including financial, legal and invoicing transaction.
• Correctly complete all customs export declaration forms.
• Ensure all operational activities are completed on time.
• Immediately report any amendments to the customs declaration forms to line manager.
• Maintain and utilise the operational system at all times.
• Maintain regular communication with line manager, reporting new sales leads and handover of shipments.
• Assist in maintain current SOPs for the department.
• Maintain excellent customer and inter-departmental relationships at all times giving regular feedback to line manager.
• Follow up late customer payments in conjunction with credit control.
• Communicate quotations to the line manager/sales team and ensure all quotations are recorded on the system in one format.
• Implement and improve new efficiencies in customer workflow in conjunction with line manager.
• Accurately complete all invoicing for exports and clients within 48 hours of final activity.
• Ensure insurances are charged correctly and any insurance claims are handed to line manager without delay.
• Provide holiday and sickness cover as required.

Skills, Experience and Competencies

• Minimum of 2 years Sea Export experience
• Knowledge of Sea import or air exports would be preferred
• Be able to prioritise own workload but also be able to work as part of a team
• Be fully conversant in IT skills e.g., Microsoft Office Suite (Word, Excel) and systems
• Have excellent communication skills over the telephone and e-mail
• Have experience with Excel reporting
• Have good team working skills
• Have good understanding of logistics processes and procedure
• Ability to work as part of a team as well and being confident independently
• Demonstratable working administrative background Must have analytical skills, with a high level of detail
