Job description

Seedling Nursery – Leamington Spa
£14.25–£14.50 per hour
Approximately 25 hours per week | Permanent | School-hours working available

Following the departure of our Administrator after 2½ years with us, we are looking for an experienced, confident and highly organised Nursery Business Administrator to become a key part of our team.

This is much more than a traditional administration role.

Our administrator sits at the heart of the nursery, supporting the Nursery Owner/Manager, communicating with our families and staff, maintaining important business systems and helping ensure that the day-to-day administration of the nursery runs smoothly.

No two days are quite the same, which means we're looking for somebody who doesn't need to be given a to-do list every morning.

You'll need to be able to look at what's happening across the nursery, identify what is most important, prioritise your own workload and take responsibility for getting things done.

Salary: £14.25–£14.50 per hour, dependent on experience.

Hours: Approximately 25 hours per week. We can offer flexibility around how these hours are worked and would be very happy to consider a school-hours arrangement for the right candidate.

Our current administrator works Monday, Wednesday and Friday, but the future working pattern can be discussed with the successful applicant.

Key responsibilities
  • Maintaining our nursery management database, including children's and employee records
  • Supporting the administration of early years funding and Funding Loop
  • Managing daily parent emails, messages and enquiries
  • Providing excellent customer service and building positive relationships with our families
  • Supporting routine HR administration and maintaining accurate staff records
  • Preparing employment references and correspondence
  • Preparing and distributing our weekly nursery newsletter
  • Ordering stationery and office supplies
  • Maintaining an organised and professional nursery office
  • Communicating effectively with room leaders and the wider staff team
  • Monitoring administrative deadlines and ensuring important actions are completed
  • Supporting the Nursery Owner/Manager with the day-to-day administration of the business
  • Identifying problems, priorities and outstanding actions and taking appropriate ownership of them
About you

You'll be someone who is:

  • Highly organised – able to manage several competing priorities
  • Assertive and confident – comfortable following things up and ensuring actions are completed
  • Independent – able to manage your working day without constant supervision
  • IT confident – comfortable with databases, email, Microsoft Office/Google applications and learning new systems
  • An excellent communicator – both verbally and in writing
  • People-focused – able to build strong relationships with parents and colleagues
  • Calm under pressure – able to adapt when priorities suddenly change
  • Accurate and conscientious – particularly when dealing with funding, staff information and children's records
  • Solution-focused – someone who doesn't just identify a problem but thinks about how it can be resolved
  • Professionally confident – comfortable giving and receiving constructive feedback

Experience within early years, childcare, education or another regulated environment would be highly desirable.

Experience of nursery management systems, early years funding administration, Funding Loop and/or HR administration would be an advantage, although training can be provided.

The person we're really looking for

Qualifications and previous experience matter, but so does personality.

We're looking for someone who will become a trusted part of our nursery – someone who understands what is important to the business, builds great relationships with our parents and staff and isn't afraid to take ownership.

You'll work closely with the Nursery Owner/Manager, so we're looking for someone who is confident enough to communicate openly, share ideas and provide constructive feedback when appropriate.

We're a busy nursery and occasionally things don't go according to plan. We therefore need someone resilient, adaptable and able to maintain perspective – someone who can have a busy morning, solve the problems in front of them and still have a laugh with the team afterwards.

If you're the sort of person who notices something needs doing and gets on with it, we'd particularly like to hear from you.
