The Oakdale Group provides a wide range of specialist assessments, including for autism, ADHD, and developmental trauma. Oakdale also provides a wide range of psychological therapies for children, young people, and adults. Many of our services are commissioned by the NHS, Local Authorities, and schools, and include services for NHS staff. Others are accessed by members of the public who pay for them privately, through medical insurance, or through our charitable arm.

The Role

The Neurodevelopmental Administrator will be required to provide comprehensive administrative services to support the delivery of neurodevelopmental assessments, including dealing with both incoming and outgoing telephone calls, booking appointments, managing inboxes and enquiries, invoicing, sending appointment reminders, sending reports and general office duties. There will also be other ad hoc tasks and responsibilities. The role requires attention to detail, strong organisational skills, and the ability to manage high volumes of data efficiently.

The post holder will need to work flexibly to help Oakdale meet and overcome challenges, and be able to embrace change with enthusiasm, this includes reception cover when required (including evenings). The successful candidate will contribute towards the growth and positive reputation of Oakdale, its success and development, and most importantly the health and wellbeing of our clients.

Key Responsibilities:

  • Manage incoming and outgoing communications, including telephone calls, emails, and correspondence.
  • Schedule and confirm appointments, assessments, sending reminders to clients and clinicians.
  • Maintain accurate client records and data using clinical and administrative systems.
  • Monitor and manage shared inboxes, responding to queries promptly and professionally.
  • Maintain accurate records and verify accuracy of data inputted to prevent errors or inconsistencies in the CRM system.
  • Support clinicians and the leadership team with administrative tasks related to assessments and service delivery.
  • Follow invoicing procedures.
  • Provide reception cover, including during evenings, as required
  • Assist with general office duties and support the team with ad hoc tasks and projects.
  • Uphold confidentiality and adhere to data protection policies at all times.
  • Carry out other reasonable duties commensurate with the nature and level of the role.
  • Availability to work flexibly across sites, including occasional attendance at events or meetings outside of core hours.

About you

  • At least 2 years current administration experience
  • Excellent written and verbal communication skills and a good telephone manner, with the ability to facilitate the resolution of issues
  • Ability to work with a neurodiverse client group, demonstrating a high level of empathy and adaptability
  • Able to work on own initiative and to tight timescales, with the ability to remain calm when working under pressure
  • Responsible, trustworthy and reliable
  • A team player
  • Proactive, organised, methodical, accurate, strong attention to detail, particularly with regard to data entry and record keeping
  • The ability to build effective relationships, inspiring trust and confidence within the organisation and externally
  • High level of personal and professional commitment
  • Experience using a range of IT systems and packages including databases
  • Discreet and trustworthy, with a strong understanding of confidentiality and data protection principles (e.g., GDPR)
  • Ability to schedule appointments and manage calendars efficiently
  • Flexible and willing to work occasional evenings as required.
  • Commitment to continuous improvement and high-quality service delivery

Preferred:

  • Experience with data entry or working in a CRM or Patient Management system
  • Proficient in G-suite (Email, G-Drive)
  • Previous administration experience in a healthcare environment
