About the role

Post holders will be appointed at band 3 or band 4 depending upon previous experience as laid out in the Trust's development framework for medical secretaries. The framework provides a clear progression to allow post holders to progress from band 3 to band 4 within the post, subject to formal evaluation (this would take 2 years).

We are looking for an experienced secretary to join the secretarial and administration team in Community Paediatrics. The role offers opportunities for enthusiastic and conscientious individuals to provide comprehensive medical secretarial services to consultants and junior medical staff, aiding workload organization and contributing to the organization’s success.

You will need previous medical secretarial and administrative experience, preferably in healthcare. Strong IT skills, a good general education, extensive knowledge of Office and Outlook (including Word, Excel, PowerPoint, email, internet), and advanced typing/word processing skills are essential.

You should have excellent communication, interpersonal, and organizational skills. Flexibility, initiative, ability to work independently and as part of a team, and the capacity to work under pressure and meet deadlines are important. A positive and enthusiastic attitude is also required.

Key requirements
  • Work independently, making decisions based on experience, consulting line managers as needed.
  • Work as part of a multidisciplinary team to provide high-quality, personalized patient care to meet KPIs.
  • Handle communication professionally, including sensitive and challenging interactions, using tact and empathy.
  • Assist with booking and managing appointments, clinics, referrals, and diagnostic lists.
  • Manage medical records, ensuring accurate tracking, filing, and retrieval.
  • Support timely investigation reports/results and escalate issues appropriately.
  • Participate in clinic reconciliation, manage waiting lists, and handle clinical documentation.
  • Interrogate case notes for accuracy and communicate complex information to healthcare professionals.
  • Maintain databases, organize meetings, and provide secretarial support for meetings and committees.
  • Perform general administrative tasks, ensuring compliance with data protection and confidentiality policies.
  • Prioritize workloads, ensure investigations are acted upon timely, and support service development and quality initiatives.

The post involves working proactively, supporting team development, and adhering to Trust values. No secretarial support for private practice is permitted during contracted hours. Flexibility to support other services temporarily may be required.
