About the Role

1 x 30 hours based at Southport Hospital.

The Trust is looking to recruit a medical secretary to provide comprehensive secretarial support to the Consultant Pathologists, their junior medical staff and the Departmental Manager in the Cellular Pathology Department, assisting with the organisation of their workloads.

Key responsibilities include managing your own workload, co‑ordinating activities with other medical secretaries, and carrying out duties in a manner that makes a direct and positive contribution to the organisation of the work. The role requires initiative commensurate with the responsibilities and strict confidentiality at all times.

Key Responsibilities
  • Typing histology and non-gynaecological cytology reports into the Telepath system, ensuring all patient, requester and clinical details are correct and correlating the handwritten/dictated report with the diagnosis written on the request card.
  • Typing hospital and coroners post‑mortem reports.
  • Distributing post‑mortem reports once signed out by the pathologist, in accordance with H.M. Coroner guidelines, to the previously agreed recipients and maintaining a database of all typed reports.
  • Supporting consultants and senior technical staff in non‑clinical activities and teaching by preparing presentation documents, literature, events and papers using relevant software packages.
  • Operating an effective filing and tracking system of casualty sheets for deceased patients following post‑mortem.
  • Maintaining case folder locations on Careflow and retrieving case sheets when necessary, by telephone or in person.
  • Maintaining the calendar to ensure appropriate personnel are informed of consultant/medical staff annual and professional leave.
  • Handling general office duties, including dealing with incoming and outgoing mail, e-mail and the smart printer, and participating in the housekeeping of the office environment.
  • Arranging directorate, departmental and trust‑wide meetings, circulating agendas and supporting papers as appropriate, and taking and typing up minutes.
