This is an exciting role where no two days are the same, and it would suit a quick learner who can manage their own time well. The role involves working across patient admin and secretary duties, processing patient requests, and sending referrals onwards.

The successful candidate will work across multiple teams and should be flexible and well-organized to prioritize urgent tasks and follow up effectively.

Main duties of the job

The primary responsibilities include processing incoming tasks and emails from GPs, patients, and third parties, ensuring tasks are completed promptly within the correct timeframe.

About us

The Beaumont Elms Practice seeks a Medical Secretary and Admin Assistant to support daily operations. As a growing practice with around 24,000 patients and a team of about 70 staff, we need extra support to manage our workload. Our friendly team includes long-standing staff, some with over 30 years of service.

This flexible role will cover annual leave for the Admin and Secretary teams and support during busy periods.

Job responsibilities
Admin Assistant

Daily tasks vary and include:

  • Running searches for the practice manager
  • Processing incoming emails from patients and third-party organizations
  • Coding information onto patient notes
  • Ensuring smooth communication within the team
Secretary Duties

The core responsibilities of the Medical Secretary include:

  • Typing letters, reports, and documents
  • Liaising with hospitals and community services for referrals
  • Managing enquiries effectively
  • Maintaining an accurate referrals database
  • Processing incoming emails and calling letters
  • Scanning and attaching patient documentation
  • Inputting data into healthcare records
  • Processing referrals via the electronic referral system (ERS)
  • Answering and transferring phone calls appropriately
  • Handling administrative queries
  • Performing system searches
  • Maintaining a tidy and effective workspace
  • Supporting clinical staff with administrative tasks
Person Specification
Qualifications
  • Must have GCSE grades A-C in English and Maths or equivalent
Experience
  • Experience as a medical secretary in a healthcare setting
  • Experience working with the public
  • Experience within a GP Practice
  • Familiarity with EMIS
