Job summary

Greater Manchester Mental Health Foundation Trust is seeking a Medical Secretary to provide administrative support to identified medical teams in the North Manchester Division. The post holder will act as a PA for several consultants and help line-manage bases medical support secretaries.

Job description

To provide a comprehensive administrative service to identified medical teams within the North Manchester Division. The post holder will act as a PA for a number of consultants and line manage the bases medical support secretaries, where applicable to ensure all work is completed in a timely manner.

The Medical Secretary will undertake general office duties including the typing of medical and other correspondence and actioning any requirements identified within the typing. They will be responsible for the management of administrative duties within their area of work including; ensuring the allocation of discharge summaries and their timely completion, updating and circulating the on-call rota as required, answering and managing calls from patients and their carers / relatives and other health and social care professionals.

They will be responsible for supporting the Trust in achieving relevant performance targets.

Main duties of the job
  • Undertake audio and clerical duties for your consultants, including minute taking as required, clinical letters, reports, discharge correspondence and clinical activity data inputting. This may include administrative support relating to consultant tutorial work.
  • Provide first point of contact for written and telephone enquiries on behalf of your consultants, using judgement to establish validity and priority of the contact.
  • Deal with any enquiries using judgement and always observing patient confidentiality.
  • Liaise with General Practitioner regarding clinic and domiciliary visits.
  • Liaise with outside agencies, including Social Services, Coroner’s Office, other hospitals, general and geriatric, medical services, clients and their relatives using their knowledge and judgement of any given situation.
  • Liaise on behalf of your consultants with multi-disciplinary team members regarding requirements for joint outpatient’s work/care programming activity.
  • Track all service users from referral to discharge ensuring all appointment and correspondence are within local and national targets.
  • Ensure all discharge summaries are allocated and completed within agreed process and timeframe.
  • Check the patient’s status, check that X-rays, follow up appointments etc. have been booked when mentioned in correspondence / discharge correspondence using the EPR systems. Ensure demographic details are correct and amend where necessary.

  • Pay Enhancements – 30% additional for Evenings (8pm onwards) and Saturdays and 60% additional for Sundays and Bank holidays.
  • 27 days annual leave plus bank holidays rising to 29 after 5 years and 33 days after 10 years
