Elthorne Park Surgery is a well‑established and popular 4‑Partner Practice in Hanwell, West London. We are looking for a new Medical Secretary to join our dynamic team.
We work from excellent, modern, purpose‑built premises with ample car parking and excellent transport links including close proximity to the Elizabeth Line at Hanwell Station. We are a SystmOne practice, and have a full complement of friendly nursing and support staff. We pride ourselves on providing high‑quality clinical care, and like to look after our staff by hosting a fortnightly yoga class in‑house. The ideal candidate needs to be committed to delivering high quality care and have strong attention to detail.
Job responsibilities
To support the practice team in the delivery of high‑quality care to all patients, liaising with members of the Primary and Secondary Health Care Team both internal and external to the practice. Presenting letters and reports to a high standard.
Administration
The post holder will complete referrals, maintain dashboards and digital platforms as required by the clinical and non‑clinical staff at the practice.
- Distribute and track referral and medical reports using the digital platform
- Invoice solicitors and insurance companies for monies owing for reports and information provided
- Scan letters to electronic medical records on SystmOne
- Process all hospital/medical correspondence ensuring patient records are kept up to date
Information Management and Technology
- In conjunction with the admin team, report any IT problems to SystmOne and the service desk
- Transfer and update electronic referral forms on SystmOne from various service providers
- Maintain an electronic address book for service providers in the NHS and private sector in primary and secondary care
- Maintain and update the Practice Website and other IT packages implemented by the practice
Organisation
- With the Practice Manager, compile agenda and take minutes for the monthly full practice meeting
- Liaise with patients and other agencies regarding referrals
- Data entry on SystmOne in line with practice protocols
- Completion of other office duties requested from the manager and principals of the practice

Person Specification – Experience
Essential
- Previous administrative or secretarial experience
- Excellent typing and audio‑typing/transcription skills

- Proficiency with office software: Word, Excel, Outlook
Desirable
- Experience within a medical or healthcare environment
