Job description

We are looking for a Medical Receptionist to join our busy, friendly reception team.

The ideal candidates will ideally have some reception experience and be capable of multi-tasking as you will be assisting patients both on the telephone and face to face. You will be the first point of contact for all patients.

You will be motivated, hard-working, enthusiastic, professional at all times, friendly and flexible.

Main duties of the job

You will be expected to receive, assist and direct patients either in person or via phone in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Ensure that enquiries from patients are efficiently handled.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

About us

We are a large friendly teaching GP practice with over 14,000 patients and a team of enthusiastic, multi-disciplinary and friendly staff. We require a Medical Receptionist with initiative, drive, strong interpersonal, admin and IT skills.

Working hours for this role are between 7am - 7pm, Monday to Friday.

Experience is preferred; however, full training will be provided for applicants with transferable skills.

Job responsibilities

Main duties of the job

  • Meet and greet patients and visitors to the practice.
  • Answer incoming telephone calls, ensure calls are documented (where required) and redirected accordingly.
  • Book, amend and cancel patient appointments in line with practice procedures, ensuring optimum efficiency of the appointment system.
  • Be available to work 4-5 days with varying shift patterns.
  • Deal with patient queries, including liaising with other medical professionals.
  • Ensure all tasks sent by GPs and admin staff are dealt with in a timely manner.
  • Ensure clinical rooms, reception, and waiting areas are kept neat, tidy, and well-equipped.
  • Keep up to date with mandatory training.
  • Always work safely in accordance with GDPR legislative requirements and practice policies and procedures.
  • Handle home visit requests, ensuring they are entered into the system with the patient records.
  • Use the practice online booking system - ACCURX. This includes booking patients as advised by the Duty Doctor, assisting with online triage queries, submitting requests on behalf of patients, and completing triage requests promptly.

Administration

  • Assist with all practice-based reception admin tasks as directed.
  • Have thorough knowledge of all practice procedures.
  • Work in accordance with practice policies, protocols, and processes.
  • Perform any other tasks allocated by managers.

Other Tasks

  • Clear and stock rooms after surgeries.
  • Monitor the Accurx triage system.
  • Ensure all daily tasks are up to date and complete.
Person Specification
Experience
  • GCSE grade A to C in English and Maths or equivalent.
  • Customer service and front reception experience.
  • Confident telephone manner.
  • Excellent written and verbal communication skills.
  • Flexibility to work additional hours.
  • Previous experience working in a GP practice is preferred.
