Job description

We are looking to appoint a receptionist to join our busy GP practice based over two sites, who will be the first point of contact for patients and visitors as well as carrying out general office management tasks.

You will be responsible for the general reception duties within the Practice and work with our established processes, policies, and procedures to provide a comprehensive high-quality service and deal efficiently and courteously with patient enquiries.

You will receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.

You will provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

You will have excellent communication skills, a compassionate and friendly nature, and the ability to operate in a busy environment working with a range of people.

This role is ideal for someone who is highly organized and an effective communicator, capable of providing a professional and warm welcome to our patients, ensuring every contact is of the highest quality.

Main duties of the job
  • Thorough knowledge of all practice procedures.
  • Computer data entry, processing, and recording information in accordance with practice procedures.
  • Providing clerical assistance to practice staff as required, including word/data processing, electronic filing, photocopying, and scanning.
  • Cover sickness/annual leave and work reasonable overtime when required.
  • Receiving patients, consulting with members of the practice team.
  • Processing prescription requests from patients, dealing with prescription queries from patients and pharmacies.
  • Cover all reception positions as necessary.
  • Taking messages and passing on information.
  • Managing appointments, telephone consultations, and home visits, directing callers to the appropriate healthcare professional.
  • Processing and distributing incoming and outgoing mail.
  • Ensuring the system is operational at the start of each day, switched over to night service, and the answer phone is operational at the end of each day.
  • Maintaining the tidiness of the reception area and notice boards, and ensuring patient information and leaflets are well stocked.
  • Monitoring and maintaining the practice and extended access appointments system, including booking, amending, and cancelling appointments, with accurate record-keeping.
About us

The Menston and Guiseley Practice seek a reliable and experienced Medical Receptionist to join our busy two-site GP Practice.

The role is for 23 hours per week, working Monday and Friday mornings (7.45 am - 1.45 pm) and all day Wednesday (7.45 am - 6.45 pm). Shifts will be split across both surgeries in Guiseley and Menston.

The ideal candidate will be flexible to cover annual leave and absences, work calmly under pressure, and offer excellent customer service and communication skills.

Job responsibilities
  • Receiving patients, consulting with members of the practice team.
  • Processing prescription requests, handling queries from patients and pharmacies.
  • Cover all reception positions as needed.
  • Taking messages and relaying information.
  • Managing appointments, consultations, and home visits, directing callers appropriately.
  • Handling incoming and outgoing mail.
  • Initiating contact and responding to requests from patients, healthcare providers, and agencies.
  • Ensuring the system is operational daily, including the night service and answer phone.
  • Filing and retrieving paperwork.
  • Keeping the reception area tidy and stocked.

APPOINTMENT SYSTEM MANAGEMENT

  • Monitoring and maintaining the practice and extended access appointment system, including booking, amending, and cancelling.
  • Reporting system effectiveness and issues.

CONSULTATION ROOM PREPARATION

  • Preparing consulting rooms daily according to Practice guidelines.
  • Ensuring rooms are tidy, secure, and re-stocked at day's end.
