Job summary

Torrington Park Group Practice in North Finchley is seeking an enthusiastic receptionist/administrator to join our team. You will handle general reception duties, book and check in patients, and manage the flow of people to ensure a courteous, efficient experience for every patient and visitor.

You will support the practice in IT and administration, use EMIS Web and Docman, take messages, arrange appointments, register new patients, and assist with records, referrals and basic transport

Qualifications

  • Experience in GP practice or Primary care.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Proficiency with EMIS Web & Docman.

Responsibilities

  • Provide a reception service for patients and visitors to the practice.
  • Book and check in patients on the computerised appointments system, considering rota and conditions.
  • Take accurate messages and pass to doctors, nurses and staff as needed.
  • Advise new patients on the registration process and direct to waiting areas.
  • Prepare repeat prescriptions and follow controlled drug procedures.
  • Provide IT support and troubleshooting for the practice.
  • Cover in absence of other receptionists/administrators.

Job description

Undertake general reception and administrative duties.

To receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Main duties of the job
  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice
  • Organise appointments on the computerised appointments system, maintaining an awareness of the partners rota and prevailing conditions that could affect the optimum management of appointments.
  • Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • Take accurate messages, assessing their urgency, and passing on the information appropriately to doctors, nurses and other staff attached to the practice
  • Use tact, diplomacy and care when dealing with patients who may be upset, including those who may react aggressively or abusively
  • To undertake a variety of administrative tasks adhering to set practice protocols and to implement and initiate new policies where necessary
  • Cover where necessary in the absence of other receptionists/administrators on sick or annual leave etc.
  • To undertake any other duties which may reasonably be delegated by the Partners and the Practice Manager
About us

Torrington Park Group Practice is a 4 partner training practice in North Finchley located in a purpose build health centre just off the High Street. The practice is well established in the community and serves around 12,200 patients.

Our team consists of over 30 staff members which include salaried GP's, nursing team, receptionists and administrative staff.

We work closely with our neighbouring practices in our Primary Care Network, providing additional services and appointments for our patients.

We are rated GOOD by CQC and are regularly high achievers in QOF.

Job responsibilities
  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice
  • Make appointments and check in patients on the computerised appointments system, maintaining an awareness of the partners rota and prevailing conditions that could affect the optimum management of appointments.
  • Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • Advise new patients of the registration process. Register patients appropriately, including the forwarding/receipt of patients records and amendment and updating of patient details and direct to appropriate waiting area
  • Take accurate messages, assessing their urgency, and passing on the information appropriately to doctors, nurses and other staff attached to the practice
  • Prepare repeat prescriptions and record them on the computer following practice protocols, being aware of the restrictions applied to the controlled drugs issuing and collection procedures
  • File and archive records, letters and reports
  • Arrange appointments and transport for patients, including emergency transport arrangements
  • Sort incoming and outgoing mail, emails and faxes as necessary
  • Ensure timely and appropriate transportation or postage of samples/ specimens to hospital
  • Use tact, diplomacy and care when dealing with patients who may be upset, including those who may react aggressively or abusively
  • Provide IT support and troubleshooting for the practice.
  • Receive payments from patients and record accurately in cash receipt books and provide receipts
  • To undertake a variety of administrative tasks adhering to set practice protocols and to implement and initiate new policies where necessary
  • Be aware of external organisations and their relationship with the practice e.g. Barnet Federation Hub and choose and book system
  • Keep the reception office, records and waiting rooms tidy and undertake any other tasks which contribute to the smooth and efficient organisation of these areas
  • Cover where necessary in the absence of other receptionists/administrators on sick or annual leave etc.
  • Attend suitable training sessions or courses, approved by the Practice Manager, in order to enhance skills and knowledge including online training through Blue Stream Academy.
  • To undertake any other duties which may reasonably be delegated by the Partners and the Practice Manager
Person Specification
Experience
  • Office administration knowledge and experience using EMIS Web & Docman systems.
  • Excellent written and verbal communication skills, including the ability to draft correspondence.
  • Excellent keyboard skills.
  • Clear and legible handwriting.
  • Ability to record information accurately and correctly.
  • Ability to work under own initiative and as a member of a team member.
  • Ability to prioritise work to achieve deadlines.
  • Ability to maintain a positive attitude to work demands.
  • Adaptable to change / Flexibility.
  • Experience of working in GP practice or Primary care.
Qualifications
  • GCSE Maths and English grade C and above or equivalent
  • Customer Service or administrator qualification
