Job summary

London Borough of Bexley is seeking a Mayoralty Officer to provide high-quality business support to the Mayor. You will manage emails, the Mayor’s diary, and coordinate a programme of civic and charity events, ensuring smooth transport, venues, and publicity with external partners.

About The Role

Are you highly organised, confident working with people, and passionate about helping events and civic occasions run smoothly? If so, this could be the role for you.

We are looking for a Mayoralty Officer to provide high-quality, comprehensive and efficient business support to the Mayor. Acting as the first point of contact for the Mayoralty, you will play a key role in ensuring the Mayor is well supported, well prepared and able to undertake a full programme of civic, community and charity engagements. You will be responsible for:

  • Managing the Mayor’s emails, prioritising messages and ensuring invitations and correspondence are responded to promptly, accurately and appropriately.
  • Managing and maintaining the Mayor’s diary, including scheduling engagements, working with the Macebearer and Mayoral Chauffeur to arrange transport and logistics, and ensuring the Mayor is fully prepared for each event.
  • Preparing and circulating the Mayor and Deputy Mayor’s weekly schedule, liaising with external organisations where necessary.
  • Helping to plan, coordinate and deliver a varied programme of civic and charity events, including formal parades, services and fundraising events in support of the Mayor’s Charity Appeal. This will include identifying venues, arranging catering, supporting the preparation of publicity materials and working with external partners and contractors.
  • Developing a strong understanding of the Mayor’s requirements, anticipating issues, identifying solutions and maintaining effective business administration systems and processes in line with the Council’s ways of working.
  • Building and maintaining excellent working relationships with councillors, VIPs, community groups, voluntary organisations and other key stakeholders.

This is a busy and varied role where no two days are the same. We are looking for someone who is highly organised, able to prioritise effectively and confident managing a dynamic workload with competing deadlines.

You will have excellent knowledge of Microsoft 365, the ability to provide a high standard of customer service, and the confidence to use your initiative and judgement to help the Mayor deliver a successful Mayoral year.

You will need experience of providing business or executive support, together with experience of planning and delivering large events, either in a professional or personal capacity.

This is an exciting opportunity to join the Members’ Services team on a maternity cover basis for up to 12 months. The role is available as a fixed-term contract for external applicants or as a secondment opportunity for internal employees, subject to approval from your substantive manager.
