The Personnel Coordinator is responsible for general crew management and welfare, with focus on safety, compliance, and high attention to detail.
Key Responsibilities
- Support communications between seafarers and the team, ensuring all queries are managed and resolved promptly.
- Support and participate in internal and client audits.
- Liaise with the Marine Personnel Specialist to ensure effective crew changes in line with client requirements.
- Manage and coordinate office visits of seafarers, including de-briefs and appraisals.
- Coordinate crew induction for new joiners and offboarding for leavers.
- Assist with disciplinary matters, review external manning agents, and ensure KPIs/SLAs are met.
- Support the management of the COMPAS crew database, ensuring accuracy and timeliness.
- Coordinate payroll matters for seafarers, liaising with global offices for prompt payments.
- Monitor and analyze training plans to ensure crews are competent and compliant with regulations.
- Support communication on STCW standards.
- Maintain knowledge of ISM, STCW, and MLC requirements.
- Perform additional tasks related to crewing as advised by Line Management.
Candidate Requirements
- Experience in a marine crewing role supporting a large global seafarer pool.
- Experience managing crewing demands and resolving issues.
- Customer service skills with a focus on client engagement.
- Experience with case management involving investigation, grievances, and disciplinary processes.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities and organizational skills.
- Knowledge of maritime regulations and industry best practices.
- Understanding of offshore crewing practices and casework management onboard.
- Deep knowledge of ISM, MLC, and STCW.
- Familiarity with crew management systems like COMPAS.
- Ability to work independently and in a team.
- Understanding of GDPR and ISO standards related to crew management.
- Proficiency in MS Office applications.
- University Degree in HR or Business preferred.
- Previous experience in seagoing HR within a ship management company.
- Knowledge of shipping HR legislation, STCW, MLC.
