Job summary

University Hospitals Dorset NHS Foundation Trust is seeking an organised administrator to coordinate the UHD Macular Service, supporting timely, high-quality care and effective patient pathways within the multidisciplinary team.

You will ensure clinics run smoothly, manage referrals and bookings, and adhere to NICE guidelines in pathway delivery.

The role requires strong communication, independence and teamwork; NHS experience and the ability to produce reports and minutes will be advantageous.

  • Liaison with patients, staff and visitors to maintain high standards of care and sensitivity
  • Close communication with Consultants and macula team to ensure clinics run smoothly
  • Manage urgent referrals and same-day appointment needs
  • Take accurate referral information to enable clinician to grade referrals
  • Track follow-up patients to ensure timelines are met
  • Analyse daily clinic capacity and rebook cancelled slots as needed

Job summary

To coordinate and support the delivery of the UHD Macular Service, working collaboratively within the multidisciplinary team to ensure patients receive timely, high-quality care, effective pathway management, and positive treatment outcomes throughout their macular journey.

Main duties of the job

To provide comprehensive support and coordination of the Macular Service.

To ensure the smooth running of the sub-speciality, working closely with the consultant, and the macula team.

To adhere to NICE guidelines in the management and delivery of patient pathways.

Job responsibilities
  • Liaison directly with patients, staff and visitors on a daily basis requires a high standard of care and commitment. Awareness must be maintained that often patients may be anxious or distressed and must be dealt with the utmost sensitivity and respect.
  • Close communication with the Consultants and staff within the service to ensure that clinics run smoothly and are filled
  • Manage urgent requirements for patients needed same day appointments/assessments;
  • Take accurate information from referrals. and self-referrals from existing ophthalmology patients, to enable clinician to grade referral appropriately.
  • Track all follow up patients in the Macular pathway to provide assurance that appointments are within clinically led timelines
  • Managing complex queries with timetables and planning, requiring discussion and negotiating with clinicians, using persuasive and communication skills where needed.
  • Analyse daily clinic capacity and organise the rebooking of any cancelled clinics slots as appropriate, ensuring any breaches are avoided and ensuring that capacity is used
