Job summary

HeliosX is seeking a highly organized Logistics Coordinator to join the Operations team in Leamington Spa. You will coordinate collections with courier partners, forecast demand, and support performance reporting, investigations, and compensation claims in line with contracts.

This hands-on role requires attention to detail, strong communication, and a proactive approach to boost delivery performance and customer experience.

Qualifications

  • 5+ years in supply chain operations, focusing on carrier management or courier operations.
  • Proven ability to engage internal and external stakeholders effectively.
  • Desirable: experience in a start-up/scale-up environment.
  • Healthcare/pharmacy experience is an advantage.
  • Strong cross-functional collaboration to achieve results.
  • High logical thinking and problem-solving abilities using data.

Responsibilities

  • Maintain records and report on inbound/outbound shipments, inventory, returns, and logistics performance.
  • Manage returns with couriers; oversee disposition and refurbishments.
  • Identify and reduce inefficiencies in the returns process.
  • Build relationships with stakeholders, including 3PL partners.
  • Suggest improvements to logistics and cost efficiencies with internal teams.

The Opportunity

We’re looking for a highly organised and proactiveLogistics Coordinator to join our Operations team and play a key role in the day-to-day management of final mile operations across all HeliosX brands and products. This role will work closely with our courier partners to coordinate collections, provide accurate forecasts and ensure deliveries run smoothly, while also supporting performance reporting, investigating delivery failures and managing compensation claims in line with our contractual agreements.

This is a hands-on role in a fast-paced environment, where attention to detail, strong communication and a proactive approach will make a real difference to our operational performance and customer experience.

This role will be based in our Leamington Spa Hub, with standard working hours of 9:00am–5:00pm, Monday to Friday.

What you'll do
  • Reporting and Documentation: Maintain comprehensive records and provide regular reports on inbound and outbound shipments, inventory levels, returns, and overall logistics performance.
  • Return Management: Manage the return process from couriers, including handling returns and coordinating with partners, finance, and customer service. Oversee return inventory processes such as disposition and refurbishment.
  • Identify inefficiencies in the returns process and develop measures to reduce.
  • Collaboration: Build and maintain effective relationships with key stakeholders, including internal teams, partners, and third‑party logistics (3PL) partners, to ensure smooth operations and resolve issues as they arise.
  • Logistics Optimisation: Identify areas for improvement within logistics and supply chain processes. Collaborate with internal teams and logistics partners to implement enhancements and provide business recommendations for increased efficiency and cost‑effectiveness.
  • Point of escalation and resolution for day to day service failures
  • Plan collections of both inbound collections, Yorkes, pallets and returns. Ensure they are communicated with the Hubs
  • Deal with escalations on service - monthly review process in place, using courier data and customer service insights to resolve live issues.
  • Delivery success monitoring and tracking, using industry data to assess vs best in class.
  • Invoice analysis / sense check - work with finance and fulfilment operations to ensure the correct service types and ship methods are charged and challenged effectively.
  • Refund / replacement claims- ensure there is a robust process in place to collect credits for failed deliveries up to our contractual requirements.
  • Safety or conduct issues of delivery drivers or couriers investigated and addressed.
  • Using couriers data to analyse delivery failures - looking to work with courier partners to improve performance.
  • Compare and contrast vs customer service data views on delivery performance.
  • Present weekly and monthly performance reports on both service and costs to Supply Chain leadership.
  • Work with the product team on courier management system solutions and dashboards.
What you'll bring to HeliosX
  • 5+ years experience in supply chain operations - specifically within carrier management / or within a courier.
  • Proven experience of successful interaction with key stakeholders, both internal and external (third party suppliers).
  • Experience within a start up / scale up environment (desirable).
  • Pharmacy / healthcare experience advantage but not essential.
  • Ability to demonstrate effective cross‑functional working to achieve results.
  • High level of logical thought used in problem solving.
  • Ability to deal with data from various sources and use it to analyse performance and challenge contractors / couriers.
  • Good level of excel / Google Sheets competency.
  • Experience of working within an ERP or MRP system.
  • Good communication written and verbal.
  • Comfortable working in a fast paced environment.
