Job summary

ASCO Group Limited in Aberdeen is recruiting for a role coordinating the movement of cargo and managing manifests. The shift pattern is 7 days on/7 days off, with 7am–7pm hours, involving close collaboration with offshore locations and client teams to ensure compliant, timely deliveries.

Responsibilities include coordinating inbound/outbound cargo, monitoring load lists, and producing operational reports while maintaining strict health & safety standards.

Qualifications

  • Experience coordinating inbound/outbound cargo with vendors and clients.
  • Knowledge of UK Oil and Gas guidelines for safe cargo handling.
  • Exposure to SAP/Oracle/MAXIMO or similar logistics systems.

Responsibilities

  • Coordinate movement of inbound and outbound cargo between vendors, ASCO bases and offshore locations.
  • Ensure shipping compliance with legislation and internal policies.
  • Understand client requirements and tailor services accordingly.
  • Identify improvements to service delivery and processes.
  • Prepare daily load-out lists and update stakeholders.
  • Disseminate information effectively across teams.
  • Audit load lists for timing issues and discrepancies.
  • Expedite load lists and coordinate manifesting of cargo inbound/outbound.
  • Track materials in client and ASCO systems and resolve issues.
  • Liaise with transport, vendors, and clients regarding deliveries.
  • Be familiar with manifesting systems and manage discrepancies.
  • Attend customer morning calls and communicate updates to teams.
  • Generate reports such as Departure Reports and Deck Utilisation.
  • Engage with client reps, vessel masters, surveyors, and bulk companies.

Job description

Hours of Work: 7 days on/7 day off, 0700 - 1900

Reporting to the OCC Manager, this role is responsible for accurately controlling and coordinating the shipping and manifesting of cargo to all customer locations. The working pattern for this role is 7 on 7 off, rotating through the following shift times: 7am to 7pm. Duties include:

  • Responsible for overseeing the effective coordination of the movement of inbound and outbound cargo between vendors, ASCO Bases and various offshore locations.
  • Ensure customers' shipping is compliant with all relevant legislation, policies and procedures. Specific focus should be applied to the adherence to the UK Oil and Gas Guidelines.
  • Seek to understand client’s requirements and deliver services that are responsive to diverse customer needs.
  • Identify opportunities to improve service delivery and suggest improvements and or changes to the process where required.
  • Preparation of the load-out list and update on a daily basis.
  • Oversee the effective distribution and dissemination of information.
  • Interrogate client’s load lists for anomalies and checking for timing issues.
  • Expedite load list material and coordinate/manifest both inbound/outbound cargo.
  • Tracking the customer’s material though ASCO's/Client systems, investigating any issues or queries that may arise.
  • Liaise between transport/vendors and client regarding cargo deliveries.
  • Be conversant with manifesting systems and deal with discrepancies.
  • Attending customer operational morning calls and ensuring information is communicated effectively to other members of the team and other departments.
  • Production of various reports – Departure Reports, Deck Utilisation etc.
  • Liaising with the client representatives\vessel masters\surveyors\bulk companies and building strong relationships.
Minimum Competencies (Skills, Knowledge and Behaviours) ,
  • Excellent communicator (written and verbal) with stakeholder engagement skills.
  • Problem solving with a logical approach.
  • High level of attention to detail and ability to consider the bigger picture when planning.
  • Effective Time Management with ability to plan and prioritise workload.
  • Conversant with UK Oil and Gas Best Practice for the safe packing and handling of cargo to and from offshore locations.
  • Knowledge of quayside and lifting operations.
  • Competence in the use of Microsoft office programs (particularly Word, Excel and PowerPoint).
  • Exposure to Logistics/Financial management systems such as SAP, Oracle, Maximo, or similar.
  • Operating knowledge of health & safety regulations and safe working practices.
Desirable Qualifications/Competencies
  • Practical experience of HM Revenue & Customs and moving Dangerous Goods by Sea.
  • Knowledge of SAP, KABAL, MAXIMO and QMS.
