As we continue to grow our Maison, we are seeking a dedicated Logistics Assistant to support our expanding operations and ensure our pieces reach the world with precision and care.
In this role, you will play a key part in Logistics and Order Management, with responsibilities that include coordinating the dispatch and allocation of stock across both Retail and Wholesale channels.
The role:
Logistics & Order Management
- Dispatch and allocate stock for both Retail and Wholesale channels.
- Coordinate exports with transport partners, including customs clearance and documentation.
- Liaise daily with 3PL partners to resolve order-related queries and maintain strong working relationships.
- Prepare invoices and packing lists for local, EU, and international shipments in coordination with warehouse and suppliers.
- Monitor and raise paperwork for proforma payments.
- Issue credit notes and maintain import/export documentation, order and invoice confirmations.
- Manage and regularly update the customer database master file.
- Build and maintain relationships with key customers, understanding specific requirements and timelines to enhance service delivery.
- Coordinate wholesale returns and ensure timely processing of inbound stock.
- Support accurate stock management including stock receipts, returns, and discrepancy resolution.
- Handle ad hoc requests from the department and management as needed.
Warehouse Coordination
- Book in production deliveries promptly.
- Monitor the production critical path in collaboration with Sales to plan stock allocations.
- Coordinate inbound and outbound warehouse operations.
- Reconcile stock levels between Odoo ERP and WMS systems.
- Optimise workflow and ensure system efficiency.
- Lead coordination of bi-annual stock take and ensure data alignment.
Customer Service
- Respond to customer queries regarding shipments and tracking in a timely and professional manner.
- Manage and resolve customer claims related to returns or repairs, including warehouse coordination when necessary.

- Proficient in Microsoft Office, especially Excel.
- Experience with ERP and WMS systems is a plus.
