The Role – Legal Admin Assistant

We’re looking for an organised, detail-loving, and motivated Legal Admin Assistant to join our support team in Poole. It’s a varied, fast-paced role where accuracy, initiative, and teamwork are everything. From scanning and file prep to ID checks and file openings, you’ll be involved in all the behind-the-scenes tasks that keep our legal work flowing.

You’ll learn in stages – starting with post and print, then moving onto compliance and file opening – with lots of support along the way. We also help onboard new consultants, so building friendly working relationships is key too.

This is an office-based role in Poole.

A few things you’ll be diving into:
Post, Scanning & Printing
  • Open, sort and scan incoming post
  • File documents in the correct matter folders and share with consultants
  • Prepare outgoing post including bundles, recorded/special deliveries, and franking
  • Handle general printing, document prep, and use of printers/scanners
Compliance & ID Verification
  • Send ID checks, client care letters and payment requests using our e-verification system (Legl)
  • Troubleshoot client issues and review incoming results
  • Certify ID for clients who prefer paper-based verification
  • Learn what’s acceptable as proof of ID and source of funds
File Opening & Admin
  • Open new legal files in LEAP and edit case details
  • Ensure all compliance requirements are met
  • Support both our consultants and internal legal team with accurate file setup
  • Help onboard new consultants and provide friendly, professional support during their first few months
  • Build strong working relationships with team members across the business
General Admin & Teamwork
  • Support both consultants and clients with queries by email, phone or teams
  • Work closely with other support team members to manage priorities
  • Pitch in when deadlines are tight – we’re all about teamwork here!
What we’re looking for:
  • Some office, admin or customer service experience (but we’re open-minded!)
  • A love of admin, structure and detail
  • Great organisation and time management
  • Clear, friendly communication skills
  • A team player who takes pride in their work
  • Confident with Microsoft Office and happy to learn new systems (we’ll train you!)
  • Discreet and professional – especially with sensitive client information
