Job description
Overview

Lead Receptionist is a full-time role, Monday to Friday, based at The Centre Surgery, Hinckley. The hourly rate is £12.40 per hour. We offer 25 days annual leave plus bank holidays.

Location: The Centre Surgery, 29 Hill Street, Hinckley, Leicestershire, LE10 1DS.

Responsibilities
  • Lead and supervise the reception services from both strategic and operational perspectives.
  • Support, train and guide other receptionists; ensure the reception team functions at consistently high levels and uses initiative to problem solve when the Supervisor is absent or present.
  • Oversee efficient reception duties, ensure enquiries are handled courteously and promptly, and act as a resource as appropriate.
  • Suggest ideas or changes to continually enhance the performance of the reception team.
  • Ensure the reception area is sufficiently staffed at all times and highlight staffing gaps to the Practice Manager to maintain adequate staffing.
  • Ensure repeat prescriptions are processed timely and ready for collection.
  • Monitor and manage work across patient tasks, prescription requests and registrations; alert the Practice Manager to shortfalls or potential problems.
  • Define, delegate and monitor reception team activities in response to changing practice needs.
  • Undertake other ad-hoc work as required under the guidance of the Practice Manager.
General Requirements
  • Provide cover for reception staff during sickness, holidays and training.
  • Monitor daily tasks outstanding on SystmOne and alert the Practice Manager if additional resources are needed.
  • Monitor and record Reception Staff absence using GP TeamNet.
  • Ensure all Reception Staff complete mandatory training and allocate protected time if required.
  • Organise monthly Reception Meetings (venue, agenda, invitations) and take minutes, recording on GP TeamNet.
  • Attend other meetings as required (e.g., In-house PLT & Practice Clinical Meetings).
  • Record significant events related to the reception team and patient service using GP TeamNet.
  • Support the Practice Manager in the appraisal process for relevant staff.
  • Produce working rotas for Reception/Admin staff and ensure timely action on Links (e.g., patient registrations) in SystmOne.
  • Manage paper copies of patient notes as appropriate and identify additional income opportunities for the practice.
  • Work with the Data Quality Supervisor to establish systems for validating patient information, including regular checks and quality audits.
  • Support Reception Staff to encourage patients to sign up for Online access.
  • Monitor the Practice generic e-mail account in the absence of the Senior Patient Administrator.
  • Promote health, safety and security in line with Practice Health & Safety Policy.
