We’re looking for a proactive and hands-on Junior Team Assistant to join our friendly and collaborative team. This is a vibrant role that goes beyond the desk—it's perfect for someone who enjoys rolling up their sleeves and taking an active role in ensuring the office is a welcoming and efficient space for everyone.

The Role

Your role as Junior Team Assistant will be pivotal in ensuring the day-to-day operations of the office run seamlessly. Whether you’re helping set up a meeting room, answering calls, or walking through the office to make sure all is in order, your contributions will help create a supportive and welcoming environment for both staff and visitors.

This is not a desk-based role - it’s an active, dynamic position that will suit someone who thrives on variety and enjoys being hands-on. If you’re someone who enjoys being at the center of activity and is always ready to lend a helping hand, we’d love to hear from you.

Key Responsibilities

1. Administrative Support:

  • Manage and respond to emails and calls, ensuring timely and professional communication.
  • Generate purchase orders (POs), manage subscription renewals, and oversee contract signatures.
  • Handle other ad hoc administrative tasks, ensuring smooth day-to-day operations.

2. Guest Relations & Reception Support:

  • Greet and welcome visitors, ensuring a positive first impression.
  • Maintain and update guest lists, liaising with reception to prepare for visitors.
  • Assist internal and external visitors in navigating the office.

3. Office Maintenance & Coordination:

  • Walk through the office regularly to ensure it is tidy, organized, and well-maintained.
  • Oversee meeting room setups and ensure rooms are refreshed after use.
  • Manage and maintain office supplies, including replenishing stock for coffee machines, dishwashers, and kitchen essentials.
  • Proactively identify and resolve any issues related to office cleanliness or organization.

4. Team Collaboration & Event Support:

  • Support the coordination of office events, working closely with internal groups
  • Assist with event logistics, vendor coordination, and ensuring events run smoothly.
  • Foster a collaborative and supportive office culture by working closely with colleagues across departments.

Desired Skills and Experience

  • A minimum of 2-3 years experience in an administrative or office support role.
  • Strong communication skills, both written and verbal, with a professional and friendly demeanor.
  • Excellent organizational skills and the ability to work well under pressure.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with purchase order generation, subscription renewals, and/or contract administration is a plus.
  • A proactive approach to identifying and resolving issues.
