Job summary

Calderdale and Huddersfield NHS Foundation Trust is seeking an Inventory Materials Management Assistant to support the delivery of patient-focused services. The role is based predominantly at CRH in Coronary Angio and Cardiology, handling stock replenishment and distribution for clinical areas.

You will join a team managed by CHS and work in a fast-paced environment where accuracy and initiative are essential. A friendly, collaborative approach and strong attention to detail are required.

Qualifications

  • 4 passes at GCSE including Maths and English.
  • NVQ level 3 in a customer focused discipline is desirable.
  • Experience in a stock control environment is preferred.

Responsibilities

  • Carry out a full materials management arrangement including moving, handling, distribution, receipting and storage of goods to stock locations.
  • Review and maintain optimum stock levels for NHSSC stock and non-stock orders.
  • Generate non-stock orders via iProc and process ad-hoc orders with correct pricing with the Specialist Inventory Team.
  • Receipt non-stock deliveries and verify quantity, quality and description with diligent checks.
  • Maintain stock levels and rotation and ensure deliveries meet use-by dates.
  • Develop relationships with Trust colleagues and maintain strong customer relationships.

Job overview

Due to internal staff rotation, we have an opportunity within our Inventory Materials Management Team for an Inventory Materials Management Assistant to help to develop and enhance the delivery of our patient focused services strategy. The post holder will work predominantly at CRH within Coronary Angio and Cardiology. This will play a vital role in ensuring that medical/surgical consumable stock is managed effectively. The post holder may also look after a small number of clinical areas outside of the inventory managed areas.

There is a requirement for manual handling and physical distribution of products. The need to work at pace whilst ensuring accuracy is critical to ensure clinical staff have the necessary medical/surgical clinical consumables to deliver healthcare.

Regular interaction with staff from all wards and departments is key so a friendly and can do attitude is required at all times. A team player is essential as the daily challenges will require an individual who has is flexible in their approach to the role.

The Person:

We are looking for someone ideally with experience of:

  • Working within a stock control based environment.
  • Understanding of the basics of stock replenishment.
  • Customer service and a friendly 'can do' attitude.
  • Working as part of a team in a time pressured environment

Main duties of the job

As part of a locally based Materials Management Team the post holder will:

  • On a routine regular basis, ensure that goods are replenished in all areas as required using both stock inventory management systems and oracle i-proc ordering systems.
  • To ensure that stock is maintained at the appropriate level using hand held data capture devices and the putting away of all stock to agreed standards.
  • Provide reports, specialist advice to customers and generally act as a focal point for all communication relating to ordered stock.
  • Maintain appropriate materials management and stores records on behalf of the customer.
  • Ensure that the services expected of the Procurement and Supplies Department are delivered in the most cost effective manner consistent with the agreed service standards.
  • Work closely with other members in the Materials Management Team and with the Procurement and Supplies Department colleagues.
  • Develop relationships with Trust colleagues.
  • Build and maintain strong customer relationships.

Detailed job description and main responsibilities
  • Carry out a full materials management arrangement as appropriate in accordance with established procedures and timescales, ie the moving, handling, distribution, receipting and storage of goods to the relevant stock location.
  • To review and maintain optimum stock levels for all products to be materially managed within inventory management system areas which will include both NHSSC stock and non-stock direct from suppliers.
  • Generate non-stock orders via iProc and process supplementary ad-hoc orders in a timely and efficient manner. Ensure correct pricing by liaising with the Specialist Inventory Team.
  • Undertake the receipt of non-stock deliveries from stores & prior to put away at the designated clinical area, ensure that adequate checks are made and that the delivery is correct in terms of quantity, quality and description.
  • To take responsibility for corrective action in 'stock-out' situations ie sourcing an alternative product, liaising with NHSSC suppliers directly, moving stock internally between clinical areas within the inventory managed areas and escalating to the Specialist Inventory Team
  • Responsible for maintaining stock levels and rotation of locally held stock as appropriate and ensure stock does not exceed its 'use by' date.
  • To regularly (approximately 10 times per day) move NHS Supply Chain roll cages (up to 180kg) and boxes (up to 18kg), within ward/department areas.
  • To work in an environment where interruptions will be encountered on a daily basis, eg where wards and departments make requests for urgently required products, which can vary between 1 and 6 different requests per day.
