Job overview

Are you looking for a new opportunity that provides a broad range of activities that support the leadership team of the Community Services Division based at Scarborough? You will be working in a role that will give you the opportunity to utilise and develop your skills to support the smooth running of the teams.

Candidates need to be organised, with the ability to plan and prioritise their own workload, as well as be able to work to tight deadlines, whilst maintaining accuracy and attention to details. Excellent communication skills and a friendly, approachable nature are desired. You will be key to the smooth running of the processes and procedures and involved in quality and compliance activities.

Main duties of the job

1. Schedules meetings and carries out administrative duties such as filing, typing, copying, binding, scanning and recording minutes and updating action trackers.
2. To assist in the development and ongoing management of community staffing rotas / daily staff cover.
3. To assist recruitment lead and team leaders in the process of recruitment and induction of new staff.
4. To assist with organisation and data management for staff training and education sessions.
5. To assist with HR processes – including information and organisational support for managers.
6. To assist with effective supplies ordering.
7. To assist in the management and development of computerised information systems.
8. To assist with regularly produced reports and information in relation to service area needs.

Minimum Requirements

1. A Level/BTEC Diploma/NVQ3 in Business Administration, Customer Service or equivalent experiential learning.
2. Advanced keyboard skills e.g. Advanced ECDL or equivalent experience and knowledge of Trust IT systems and Microsoft products.
3. Demonstrable experience within the Administration and clerical field at advanced level.
4. Foundation Degree.
5. Intermediate level of theoretical knowledge relevant to the role.

Experience

1. Demonstrable experience of practice and procedures relevant to the area of work.
2. Experience in preparing agendas and papers and writing minutes.
3. Knowledge and experience of IT Systems, including Microsoft Office applications.
4. Understanding of a range of work procedures and practices, some of which are non-routine and acquired through formal training or equivalent experience.
5. Working knowledge of NHS or wider health or social care systems, processes, policies, and procedures.
6. Interest or experience of community health and social care.
