Qualifications

Job Title: HR Assistant – Recruitment & Training

Location: Rugby, Warwickshire

Salary £28,500.00 per annum based on 37 hours per week Monday - Friday

Full Time/ office based - Rugby HQ

The Role

This is a key recruitment-focused role, supporting the business in attracting and securing top talent. Working closely with hiring managers, you will act as an internal recruiter, helping to define role requirements, source candidates, and manage the end-to-end hiring process to ensure a smooth and effective experience for both candidates and stakeholders.

While recruitment is the primary focus, the role also includes maintaining accurate training records and coordinating with training providers and delegates to support the successful delivery of learning initiatives.

Recruitment

  • Assist hiring managers in developing clear and effective job descriptions and advertisements to attract top talent
  • Utilise a variety of channels (such as job boards, social media, networking, etc.) to source potential candidates and recommend enhancements to the recruitment process to hiring managers
  • Conduct initial screenings of CVs and present shortlisted candidates to hiring managers
  • Proactively follow up with hiring managers to ensure a timely and efficient hiring process
  • Issue employment contracts, job descriptions, and new starter documentation, verifying right-to-work, references, and facilitating a smooth onboarding experience
  • Update the employee database with new hire information
  • Regularly review existing supplier agreements and evaluate new proposals, focusing on negotiation of rebates, compensation packages, and fees
  • Provide regular reports on recruitment progress and suggest process improvements as needed
  • Maintain accurate records of candidates and recruitment activities
  • Manage the employee referral program, processing incentive payments in coordination with payroll
  • Training
  • Ensure the training database is maintained and up to date with all upcoming training events
  • Coordinate with internal and external training providers to schedule sessions, send invitations, and confirm attendance
  • Arrange accommodations, meals, and refreshments as required, and communicate details to delegates
  • Distribute course briefs and post-training evaluation surveys to assess training effectiveness and address identified needs

General Administration

  • Organise annual conferences, budget meetings, and team-building events, including scheduling, issuing itineraries, and maintaining clear communication with all participants
  • Ensure HR data within the HR system is accurate and up to date, and generate relevant management reports
  • Distribute internal HR communications, including staff announcements and policy updates
  • Dispatch welcome packages to new employees
  • Oversee employee surveys, collect feedback, and prepare reports
  • Perform general administrative duties and assist with ad hoc projects as required

Your skills and experiences:

  • Demonstrated experience in recruitment or resourcing
  • REC (CertRP) qualification preferred but not mandatory
  • Proficiency in utilising recruitment platforms (e.g., LinkedIn Recruiter, job boards)
  • Excellent written and verbal communication skills
  • Strong organisational abilities with the capacity to manage multiple tasks and prioritise effectively
  • Keen attention to detail and dedication to delivering a positive candidate experience
  • Ability to collaborate effectively within a team and maintain strong relationships with internal stakeholders
  • Flexibility to perform duties outside of standard responsibilities in support of team objectives
  • Proactive, self-motivated, and maintaining a positive attitude
  • Adaptability to thrive in a dynamic and evolving environment
