Job summary

Worksop College and Ranby House is seeking a dedicated HR Training & Development Quality Assurance Administrator to support planning, recording, and quality assurance of learning, development, appraisal, and probationary reviews. The role also coordinates CPD activities, maintains compliance records, and supports policy implementation across HR processes.

Job description

The HR Training & Development Quality Assurance Administrator provides administrative and coordination support to the Human Resources function, ensuring the effective planning, monitoring, recording, and quality assurance of employee learning, development, appraisal, and probationary review processes. The postholder will support the delivery of Continuing Professional Development (CPD) programmes, maintain training compliance records, coordinate performance review activities, and help ensure organisational policies and procedures are consistently applied. Key Responsibilities Training and Development Coordination
  • Coordinate and administer organisational training and development programmes.
  • Maintain accurate training records and learning management systems.
  • Monitor mandatory training completion rates and provide regular compliance reports.
  • Schedule training sessions, workshops, inductions, and CPD activities.
  • Liaise with managers, employees, and external training providers regarding training requirements and bookings.
  • Support the evaluation of training effectiveness through feedback collection and reporting.
  • Assist in identifying employee development needs through appraisal outcomes and organisational requirements.
  • Track professional registrations, certifications, and CPD requirements where applicable.
Quality Assurance and Compliance
  • Maintain quality assurance processes relating to staff training, development, and competency records.
  • Conduct regular audits of personnel files, training records, appraisal documentation, and probationary review records.
  • Ensure documentation is complete, accurate, and compliant with organisational policies and relevant legislation.
  • Produce reports and management information relating to training compliance, appraisal completion, probation reviews, and workforce development metrics.
  • Support continuous improvement initiatives within HR and workforce development processes.
Performance Management Support
  • Coordinate the annual appraisal and performance review process.
  • Maintain appraisal schedules and issue reminders to managers and employees.
  • Monitor completion rates and elevate overdue reviews as appropriate.
  • Prepare and distribute appraisal documentation and guidance materials.
  • Record and track development actions arising from performance reviews.
Probationary Review Administration
  • Coordinate probationary review processes for new employees.
  • Monitor probation review timelines and notify managers of upcoming review dates.
  • Prepare and distribute probation review documentation.
  • Maintain accurate records of probation outcomes and associated actions.
  • Ensure all probationary processes are completed in line with organisational procedures.
HR Administration
  • Maintain confidential employee records in accordance with data protection requirements.
  • Provide administrative support for HR projects and workforce development initiatives.
  • Assist with induction and onboarding activities.
  • Respond to routine employee and manager queries.
  • Support policy implementation and process improvement initiatives within the HR function.
Key Performance Indicators (KPIs)
  • Mandatory training compliance rates achieved.
  • Timely completion of appraisal reviews.
  • Timely completion of probationary reviews.
  • Accuracy and completeness of HR and training records.
  • Training administration completed within agreed service standards.

Additional Information

The postholder will be expected to work flexibly to support organisational priorities and may be required to undertake other duties appropriate to the grade and nature of the role as reasonably requested by management. Desired Criteria
  • CIPD Level 3 qualification or working towards.
  • Experience using HR Information Systems (HRIS) and Learning Management Systems (LMS).
  • Knowledge of quality assurance and compliance monitoring processes.
  • Experience supporting CPD programmes and workforce development initiatives.
Essential Criteria Qualifications
  • Educated to GCSE level (or equivalent) including English and Mathematics.
  • Relevant qualification in Human Resources, Business Administration, Learning & Development, or equivalent experience.
Experience
  • Previous administrative experience within Human Resources, Learning & Development, Training Administration, or a related function.
  • Experience maintaining accurate records and databases.
  • Experience coordinating meetings, training events, or employee review processes.
