Job description

We are delighted to be partnering with a well-established and successful professional services firm with offices in Cardiff, Bath and London to recruit an experienced HR Co-ordinator.

Our client is a growing business with a strong reputation in its specialist field, where maintaining high professional standards and delivering an excellent service are central to its success. The firm recognises the important contribution made by its support teams and the role they play in enabling the wider business to operate effectively.

This is a particularly important appointment within the HR team. Reporting to an experienced Head of HR based in London, this person will play a fundamental role in ensuring the smooth running of the HR function, providing a reliable, efficient and professional service to colleagues across the firm.

The role will suit someone who takes real pride in their work, has exceptional attention to detail and understands the importance of getting things right first time. You will be highly organised, proactive and confident managing your own workload, with the ability to build effective relationships and provide support across all aspects of HR administration.

The firm offers a flexible working arrangement, with attendance at the Cardiff office and the opportunity to work from home for up to three days per week. There will also be opportunities to visit the Bath and London offices, with travel costs covered. Flexible working hours are supported, with agreed core hours.

The Job

Reporting to the Head of HR and working closely with the HR Partner, the role will provide a high-quality administrative service across the full employee lifecycle, supporting the effective delivery of HR processes and ensuring employee information and documentation are maintained to an exceptional standard.

This is a varied role offering involvement across HR systems and data, recruitment, employee administration, pensions and benefits, alongside wider support for the HR team.

  • Monitor shared HR inboxes, responding to queries relating to HR policies, procedures and systems, resolving issues or escalating where appropriate.
  • Maintain accurate employee records and HR systems, ensuring data is entered promptly and any discrepancies are identified and resolved.
  • Coordinate onboarding and leaver processes, prepare offer letters, contracts and HR correspondence, and monitor probation periods.
  • Administer sickness absence, maternity and paternity processes, ensuring records and documentation are maintained accurately.
  • Support pension and employee benefit schemes, including preparing monthly pension schedules, managing relevant communications and liaising with Payroll to ensure data is accurate and up to date.
  • Support recruitment activity by liaising with hiring managers and managing the online recruitment portal.
  • Prepare HR reports, maintain diversity and inclusion records, handle reference requests and conduct exit interviews.
  • Support new employee inductions, attend meetings to take minutes and provide general administrative support to the wider HR team.
  • Contribute to the development of HR systems, processes and procedures, helping to maintain consistency and improve efficiency across the function.
The Person Specification

The successful candidate will bring:

  • Previous experience in an HR administration role, with a solid understanding of HR processes and procedures.
  • CIPD level 3 would be advantageous
  • Exceptional organisational skills and a high level of attention to detail, with a genuine commitment to accuracy and quality.
  • The ability to manage and prioritise a varied workload, meet deadlines and work effectively on their own initiative.
  • Good working knowledge of UK employment legislation and core HR administration.
  • Strong written, verbal and numerical skills, with the confidence to communicate professionally with colleagues at all levels.
  • Good IT skills, including Microsoft Office, Outlook and Excel, and confidence using HR systems.
  • A proactive and practical approach, with the ability to identify issues, take ownership and follow tasks through to completion.
  • A collaborative working style, combined with the discretion required to handle confidential employee information.

Above all, we are looking for someone who understands the importance of the HR administration function and takes pride in providing a dependable, high-quality service. You will be someone the wider team can rely on, with the organisation, initiative and attention to detail needed to make a real difference.
