Job description

Originally founded more than two decades ago, my client is a market-leading company operating as a single source solution provider, offering comprehensive and bespoke facilities management and cleaning services in London. From humble beginnings, they have experienced impressive organic growth across diverse luxury retail and commercial clients, including over 150 blue-chip companies with retail and office sites. The company remains family-owned, upholding principles of service quality, reliability, flexibility, and environmental sustainability.

I am currently assisting them in recruiting an HR and Payroll Manager. This role ensures compliance with legal standards and oversees key HR functions to support an efficient workforce. Responsibilities include managing employee records, tracking attendance and holidays, monitoring probation periods, handling disciplinary matters, ensuring payroll accuracy, supporting digital payroll transition, and maintaining legal compliance.

HR Duties
  • Maintain centralised employee records, including attendance, holidays, and immigration statuses.
  • Oversee recruitment and onboarding processes for cleaning operatives.
  • Track holidays, attendance, and handle disciplinary issues according to company policies.
  • Monitor probation periods and conduct timely evaluations.
  • Provide HR metrics and compliance reports to management.
  • Ensure accuracy and confidentiality of employee data.
  • Maintain proper documentation for HR processes, payroll inputs, and performance reviews.
  • Regularly update role profiles, reviewing every three months.
  • Ensure adherence to labour laws, immigration requirements, and company policies.
  • Coordinate legal compliance documentation and monitor immigration statuses.
  • Liaise with HR consultants on legal and compliance matters.
  • Address disciplinary issues, monitor attendance, and manage grievances with escalation procedures.
  • Update disciplinary policies and ensure employment contracts contain necessary clauses.
  • Develop recruitment strategies, conduct interviews, manage offers, and oversee onboarding.
  • Coordinate training programs to enhance skills and ensure health, safety, and environmental compliance.
  • Promote sustainability and safety through HR practices and employee training.
  • Support initiatives fostering organizational culture, teamwork, and employee satisfaction.
  • Organize employee events and send celebratory messages for birthdays, anniversaries, and holidays.
  • Ensure training and induction programs reflect company values and legacy.
Payroll Duties
  • Complete payroll tasks accurately and on schedule.
  • Prepare payroll reports and collaborate with Finance.
  • Update payroll policies in line with best practices and legislative changes.
  • Manage the digital transformation of payroll systems, providing manual support during implementation.
Candidate Requirements
  • Bachelor’s degree in HR, Business Administration, or related field; CIPD qualification.
  • At least 3 years’ experience in HR functions including recruitment, employee management, compliance, and training.
  • Knowledge of labour laws, immigration procedures, payroll management, and HR administration.
  • Proficiency with Microsoft Office and HR management software.
  • Spanish language skills are highly advantageous.

This role offers a hybrid working arrangement, initially four days in-office and one remote, transitioning to three days in-office after approximately six months.

Salary ranges from £40,000 to £45,000, with 28 days of holiday, a company pension, and access to a nearby gym.
