Job summary

Planit is seeking an organised HR Administration Assistant on a temporary 12-month basis. The role is part-time at 22.5 hours per week, with up to 7.5 hours daily within 8am–6.30pm, based in Altrincham, Greater Manchester.

You will support the Principal for People and work across HR, recruitment and operations as part of our Core Team, helping to maintain accurate records and process documentation.

Job description

Hours: Part-time position, of 22.5 hours per week, with distribution across the week to be agreed (7.5 hours per day maximum, and within the hours of 8am-6.30pm).

Salary: £26,000 to £29,000 per annum full-time equivalent £15,600 - £16,800 Pro-rated salary (based on 22.5 hours per week)

Temporary: 12 months, with potential move to permanent in future

The role

We’re looking for an organised and pro-active HR Administration Assistant to support our Principal for People on a temporary basis for 12 months. You’d be working as an integral member of our Core Team which spans Graphic Design, HR, Health and Safety, compliance, and operational business requirements; working together to support the wider team.

Planit is a place-based design practice of over 100 Landscape Architects, Urban Designers and Visual Storytellers with five studios across the UK. The position is based in Altrincham, Greater Manchester, our vibrant hometown, for which we’ve designed public realm improvements over the past decade.

As we continue to grow this is an excellent opportunity for an organised, professional and personable administrator looking to develop their career within HR and Recruitment.

Key responsibilities

This is a varied role that requires strong attention to detail, excellent organisation and the confidence to work with colleagues across the business to ensure HR processes are followed correctly throughout the employee lifecycle and accurate personal records are maintained. Tasks will include:

HR Administration

  • Maintain accurate employee records and HR reports.
  • Prepare employment contracts, offer letters and associated documentation.
  • Support onboarding and induction processes for new starters.
  • Process employee lifecycle administration, including changes to terms and conditions, personal development plans, promotions, and leavers.
  • Assist with the management administration and reporting of holiday and other leave entitlements
  • Assist with sickness absence documentation and reporting.
  • Monitor and manage HR inbox enquiries, responding appropriately or escalating as required.
  • Ensure all HR documentation is filed accurately and confidentially.

Recruitment

  • Coordinate recruitment requests and advertise vacancies.
  • Support Hiring Managers in recruitment good practice using our Applicant Tracking system.
  • Manage candidate applications and maintain recruitment records.
  • Support pre-employment checks, including right to work documentation and references.
  • Provide excellent candidate communication throughout the recruitment process.
  • Produce recruitment updates as required.
About You

The successful candidate will:

  • Possess excellent organisational skills and attention to detail.
  • Be confident managing multiple priorities and deadlines.
  • Have strong written and verbal communication skills.
  • Be proficient in Microsoft Office, including Outlook, Word and Excel and Forms.
  • Demonstrate professionalism, discretion and the ability to handle confidential information.
  • Have a positive, flexible and team-oriented approach.
  • Previous experience in an HR administration, recruitment administration or similar administrative role.
  • Experience of using HR or recruitment systems. (As we are looking to implement a new HR system, prior experience of being involved in implementation would be a distinct advantage).
  • CIPD qualification or working towards CIPD certification.
