HR Admin Apprentice
Harbour Learning Trust is hiring! They are looking for a HR Admin Apprentice to join their team.

As an HR Admin Apprentice, you will work alongside experienced colleagues and develop the knowledge, skills, and confidence needed to build a career in Human Resources and administration. You could be supporting recruitment one day, helping prepare for a new starter the next, and updating HR records or coordinating training on another, making this a diverse yet exciting role.

Key Responsibilities
HR & General Administration:
  • Carrying out day-to-day office administration, including filing, scanning, photocopying, and organising documents.
  • Maintaining accurate records and shared inboxes.
  • Entering and updating information on HR systems, spreadsheets and MIS systems.
  • Supporting meetings by booking rooms, organising diaries, preparing agendas and taking basic notes.
Recruitment & Safer Recruitment:
  • Supporting the advertising of vacancies and preparing application packs.
  • Logging applications and assisting with recruitment administration.
  • Chasing references and tracking outstanding responses.
  • Supporting DBS checks, right-to-work verification and qualification checks.
  • Helping maintain accurate compliance records and the Single Central Record.
HR Records & Payroll:
  • Maintaining confidential staff files and personnel records.
  • Updating training and absence information.
  • Supporting payroll administration, including timesheets, starter and leaver forms, and contract changes.
  • Liaising with payroll providers when required.
Onboarding & Training:
  • Preparing induction packs for new employees.
  • Scheduling induction meetings and ensuring new starters receive the information they need.
  • Logging mandatory training and sending reminders.
  • Keeping training completion records up to date.
Communication & People Support:
  • Drafting straightforward emails and staff communications.
  • Sending reminders and helping maintain noticeboards or digital platforms.
  • Supporting reception and visitor management, including checking ID and following safeguarding procedures.
  • Providing a friendly and professional service to colleagues, applicants, visitors and external agencies.
Confidentiality & Compliance:
  • Handling sensitive HR information appropriately.
  • Following GDPR, safeguarding and Trust procedures.
  • Supporting the circulation of policies and maintaining document version control.
  • Escalating concerns or issues to the appropriate colleague when necessary.
Skills & Knowledge
  • Good communication skills and the ability to communicate politely and professionally.
  • Strong organisational skills, with the ability to manage tasks, follow processes and meet deadlines.
  • Excellent attention to detail, particularly when working with records, recruitment checks and data.
  • An understanding of the importance of confidentiality, GDPR and safeguarding.
  • Basic IT skills, including confidence using email, Word and Excel, with a willingness to learn HR and MIS systems.
  • A professional and reliable approach, including good timekeeping and punctuality.
  • A genuine willingness to learn, accept feedback and develop new skills.
  • An understanding of the importance of safer recruitment, including references, DBS checks and document verification.
  • The ability to work collaboratively with HR colleagues, office teams and school staff.
  • A customer-service mindset, with a helpful and supportive approach.
  • Basic numeracy skills for tasks such as timesheets and simple data checks.
  • The ability to follow established processes, particularly around recruitment, onboarding, compliance and safeguarding.
