We are seeking a proactive and detail-oriented Graduate Assistant to the COO to join our dynamic team in London. This role is ideal for someone who is looking to grow their career in a fast-paced financial services environment while taking on a variety of responsibilities that blend office management and basic financial administration.

Key Responsibilities:

  1. Basic Bookkeeping and Accounting:
    1. Reconcile bank accounts on a regular basis.
    2. Ensure invoices are generated, sent, and followed up promptly.
    3. Assist in maintaining accurate financial records and supporting documentation.
    4. Collaborate with external accountants and lawyers to ensure payroll is processed accurately and on time.
  2. Office Management:
    1. Act as a point of contact for landlords, tradesmen, and service providers.
    2. Coordinate office maintenance and repairs, ensuring a smooth and efficient working environment.
    3. Manage office supplies and inventory, ensuring availability and cost-effectiveness.
    4. Assist with the implementation of office policies and procedures to enhance operational efficiency.
  3. Liaison and Communication:
    1. Develop and maintain positive relationships with external partners, including accountants, legal advisors, and vendors.
    2. Support the senior management team in various administrative tasks and projects as needed.

Qualifications:

  1. Previous experience in an office management or administrative role, preferably within the financial services sector.
  2. Basic understanding of bookkeeping and accounting principles.
  3. Strong organizational skills with attention to detail and accuracy.
  4. Excellent communication and interpersonal skills.
  5. Proficient in Microsoft Office Suite and accounting software such as Quickbooks.
