Job Scope
The post holder will be responsible for providing a comprehensive, professional, and efficient Front of House service, along with office management duties.
Key Responsibilities
- Assist the FM and HR team with policies and procedures related to Head Office management, including Health & Safety, Emergency Response, and staff onboarding.
- Maintain and update the Front Office/Reception procedural manual.
- Support HR with DSE assessments and coordinate employee requests.
- Manage key cabinets and keep records of key sign-outs and returns.
- Order and control stationery supplies within budget, maintaining stocks across the office.
- Oversee periodic works like deep cleans and window cleaning.
- Manage the Permit to Work System as needed.
- Assist the Housekeeper with catering and office provisions for meetings and events.
- Arrange access for new starters and maintenance requests.
- Renew subscriptions for newspapers, milk, fruit, and franking machine.
- Maintain the CAFM system with work orders and ensure timely completion.
- Ensure office security through safety procedures and access control, including CCTV management.
- Manage the in-house gym's maintenance.
- Handle flat bookings and inform Housekeeping accordingly.
- Serve as a first aider and lead fire warden.
- Perform reception administrative duties and support other departments as needed.
Front of House Duties
- Greet and direct visitors professionally.
- Build rapport with guests and represent the company positively.
- Handle calls, screening, messaging, and manage the enquiries email.
- Manage incoming/outgoing mail and courier bookings.
- Maintain tidiness and supplies in reception and post areas.
- Oversee the meeting room booking system.
Minimum Requirements
- Proven experience in a support/reception role.
- Professional appearance and attitude.
- Excellent customer service and interpersonal skills.
- Self-motivated with ability to multitask and meet deadlines.
- Proactive problem-solving skills.
- Attention to detail, proficiency in English (oral and written).
- Working knowledge of Microsoft 365 and familiarity with video conferencing systems (mainly Teams).
