The NCA Fleet team provides vital business support within Corporate Business Services, ensuring the safe and efficient operation of all specialist vehicles. This includes overseeing servicing, maintenance and repairs, managing MOT health check schedules and promptly alerting senior managers and Health & Safety colleagues to any issues that could impact vehicle safety.
As a Fleet Officer you will take on a varied and dynamic role where each day brings new challenges. You will provide guidance and advice to colleagues and internal customers, deliver excellent customer service, manage administration and reporting responsibilities and work closely with teams across the Agency to define specifications for vehicles due for replacement, support the purchase and management of vehicles through externally funded projects and contribute to the delivery of vehicular support for Agency priorities. The role also involves engagement with international teams to manage armoured and in‑country vehicles.
Responsibilities
- Provide comprehensive administrative support, including document preparation, departmental correspondence, meeting coordination, diary management, minute‑taking, booking travel and accommodation and organising events.
- Prioritise and manage the sub‑team inbox to ensure timely responses and efficient workflow.
- Oversee MOT compliance and verify all required vehicle documentation to maintain legal standards.
- Ensure service schedules are met within mileage and time parameters to uphold vehicle safety and reliability.
- Support senior officers with invoice processing and reconciliation, manage the purchasing system (iPOS) and ensure accurate financial administration.
- Liaise with contracted suppliers, monitor service levels, identify issues and raise concerns to senior officers.
- Manage all aspects of in‑life vehicle operations, including fuel card processing, handling Notices of Intended Prosecution (NIPs) and Penalty Charge Notices (PCNs), insurance administration and repair work orders.
- Collaborate with internal teams to define replacement specifications, negotiate with commercial partners and manufacturers and ensure new vehicles are fit for purpose and cost‑effective.
- Coordinate the removal of vehicles from the fleet in line with age and mileage parameters, completing all associated administrative tasks.
- Act as the designated single point of contact (SPoC) for sub‑team projects, ensuring clear communication and effective coordination.
- Develop and maintain strong working relationships with a wide range of internal and external stakeholders.
- Ensure accurate data management and contribute to the development and maintenance of datasets to support operational efficiency.
