Description
Fleet Maintenance Controller
Type: Permanent, Full-time
Working hours: Monday to Friday, 08.00 – 17.00
Job Function: Plan, schedule and implement vehicle maintenance and compliance events
Reporting to: Senior Fleet Maintenance Controller
Liaise with: Fleet Assets Manager, Depot Manager, Transport, Hire Desk, Customers & Suppliers
Duties & Accountabilities
- Book MOT lane dates, and other scheduled fleet maintenance and compliance events with workshops across the UK
- Liaise with customers for upcoming scheduled fleet maintenance and compliance events considering planned dates, and requirements for continuity on hired assets
- Arrange for temporary or permanent replacement vehicles to cover scheduled fleet maintenance and compliance events, in particular Heavy Goods Vehicles for MOT
- Liaise with workshops to ensure progression through workshop for planned fleet maintenance and compliance events are on schedule, and end dates will be met
- Ensure vehicle downtime is held to agreed time scales
- Liaise with suppliers/workshops to negotiate the best commercial arrangements relating to maintenance costs, considering vehicles on Repair & Maintenance schemes
- Interact closely with internal departments, in particular Workshop, Hire Desk and Transport
- Ensure highest levels of accuracy and detail on all records created within Syrinx
- Ensure accuracy, date, and information regarding stored PDF files for vehicle maintenance and compliance events
- Publish PDF files for vehicle maintenance and compliance events to customer Service Level Agreements
- Always maintain professional and courteous conversational dialogue when speaking with customers on the telephone and when customers visit our premises
- Ensure that the company’s health and safety policy and procedures are adhered to in relation to all depot operations
- Any other ad-hoc duties as required
Requirements
- Excellent written and verbal communication skills
- Organised and keen eye for detail
- Excellent time and task management skills
- Solid knowledge of Microsoft Office TM programs
- At least 2 years’ experience in a similar role
- Excellent planning and organizational skills
- Excellent multitasking and teamwork skill
