Job summary

Holman UK is seeking a Fleet Administrator (Maternity Cover) to join the Fines & Taxation Team in Birmingham, with hybrid working after probation. This 12-month temporary role pays circa £28,000 per year and is based at the Birmingham office near the NEC.

Qualifications

  • Knowledge of vehicle compliance requirements is advantageous.
  • Experience in a similar role is preferred.
  • Ability to assimilate, collate and record information with high accuracy in data input.
  • Experience working in a pressurised environment and remaining calm and professional.
  • Proactive with initiative and common sense.
  • Strong communication and listening skills with customers, colleagues and suppliers.
  • Experience working to targets and deadlines.

Responsibilities

  • Declare vehicles SORN at the client's request and update Holman systems.
  • Manage incoming V5C documents and escalate missing documents.
  • Post documents via predetermined postal methods and record tracking numbers.
  • Scan and file documentation including V5Cs, plating certificates and fines.
  • Administer fuel card processes for clients as agreed.
  • Administer fines processes including appeals where required.
  • Add/remove vehicles from client MID accounts and audit as needed.
  • Administer parking permits and toll account processes; audit frequency.
  • Manage cherished plate retention and replacement plating certificate processes.
  • Handle Fines & Taxation credit card reconciliation and write-offs as required.
  • Perform other duties and special projects as assigned.

We have an exciting opportunity that has arisen for a Fleet Administrator (Maternity Cover) to join our growing Fines + Taxation Team here at Holman UK. This role will be based out of our Birmingham office near the NEC, with the opportunity for hybrid working, following a 6-month probationary period, details of which will be discussed at interview. This is a temporary 12 month opportunity, and we are looking to pay circa £28,000 per annum.

Key Responsibilities will include:
  • Declare vehicles SORN at the client's request, updating Holman systems to track SORN vehicles
  • Manage incoming V5C documents, escalating any missing documents to relevant points of contact
  • Post documents via predetermined postal methods, recording tracking number and costs as required
  • Scan, tag (to vehicle records) and file documentation including V5C's, plating certificates, fine documentation etc
  • Administration of fuel card processes for clients as per agreed parameters
  • Administration of fines processes for clients, including appeals where required, as per agreed parameters
  • Adding and removing vehicles from client MID accounts, auditing these as per agreed frequencyAdministration of parking permits
  • Adding and removing vehicles from client toll accounts, auditing these as per agreed frequency
  • Administration of cherished plate retention and assignment processes
  • Administration of replacement plating certificate processes
  • Manage the Fines & Taxation credit card transaction reconciliation, initiating write off requests as required
  • Perform all other duties and special projects as assigned.
We are looking for candidates who have:
  • Qualifications or good knowledge around vehicle compliance requirements (advantageous)
  • Experience working within a similar role (preferred)
  • The ability to assimilate, collate and record information, demonstrating a high degree of accuracy in performing routine document checks and data input
  • Experience of working within a pressurised environment, with the ability to remain calm, empathetic and professional in difficult situations
  • A proactive and committed attitude to finding a solution, with the ability to use initiative and common sense
  • The ability to adapt communication style to accommodate customers, colleagues, suppliers and other contacts with excellent questioning and listening skills and an ability to assimilate accurate information
  • Experience of and are comfortable with working to targets and deadlines
