phs Group in Caerphilly is seeking a Fleet Administrator for a full-time role with excellent benefits. The successful candidate will manage fleet activity, driver records and related administration, supporting the fleet operation and ensuring accurate data and timely responses to enquiries.

The ideal candidate will hold a full driving licence, possess strong attention to detail, and be proficient in Word and Excel, with good customer service and communication skills.

Responsibilities

• Record payments and appeal parking fines; arrange driver deductions as needed.
• Identify driver/cost centre on notices; update offence register and return to issuing authority.
• Inspect and vet new drivers’ licences and related documents.
• Update driver and vehicle records.
• Arrange short-term hires and manage fuel cards.
• Handle parking and toll accounts and related queries.
• Answer telephone calls and general transport questions.
• Perform other duties as required by the Manager.

The purpose of the role as a Fleet Administrator at phs Group:

Fleet Operation, Driver administration and to provide administration support where necessary.

• Recording Payment and Appeal of parking fines – arranging driver deductions where necessary.
• Identifying driver and cost centre on Notice of Intended Prosecutions, updating offence register and returning to issuing authority.
• Inspecting and vetting of all new drivers’ licences and related documents.
• Updating driver and vehicle records.
• Arranging short term hires.
• Cancelling and ordering fuel cards.
• Parking and Toll account management.
• Answering telephone and dealing with general Transport queries.
• Any other duties as and when required by Manager.

The ideal candidate for a Fleet Administrator at phs Group will be:

• Full and clean driving licence
• Must have proven ability of working in an environment with close attention to detail.
• Experience of working to tight deadlines.
• Proficient in Microsoft Word and Excel and adaptability to various bespoke internal systems.
• Excellent written and presentation skills.
