Job Title: FF&E & Construction Procurement Administrator

Sector: Hospitality (Client Side)

Location: London (with occasional travel to restaurant locations)

Start Date: ASAP

We are seeking a highly organized and proactive Procurement Administrator to support procurement and logistics for diverse hospitality design projects across the UK, EU, Middle East, and the US. This role offers an exciting opportunity to work in a creative, fast-paced environment on high-profile, uniquely crafted spaces from concept to completion.

Join a growing in-house design team that has delivered over 20 restaurants and food halls across six countries, aiming to create vibrant, authentic Italian experiences in stunning, personality-filled spaces.

Key Responsibilities:

  • Processing FF&E and construction orders, coordinating with suppliers, designers, finance, and site teams.
  • Managing logistics and shipping, including documentation, customs, and compliance.
  • Coordinating FF&E installation, snagging, and resolving delivery issues with contractors and the design team.
  • Maintaining procurement schedules, budgets, and timelines to ensure efficient supply chain management.
  • Assisting with project cash flow and payment processing with finance teams.
  • Reconciling costs and closing project accounts with surveyors and accountants.
  • Supporting the setup of new supplier accounts and maintaining supplier documentation, including certifications.
  • Updating procurement records, supplier databases, and inventory, including storage coordination.

Qualifications and Skills:

  • Minimum of 3 years' experience in procurement, finance, or logistics, preferably within interior design, hospitality, or construction sectors.
  • Proficiency in Microsoft Excel and Office; experience with Google Docs is advantageous.
  • Knowledge of Adobe Photoshop and InDesign is a plus but not essential.
  • Excellent organizational skills and keen attention to detail.
  • Strong understanding of procurement and logistics processes.
  • Comfortable managing budgets and reconciling costs.
  • Ability to work independently and as part of a team in a dynamic environment.
  • Problem-solving skills and ability to manage multiple priorities effectively.
