Wildflower Day Nurseries & Preschools is hiring a Family Engagement & Admissions Coordinator. The role will manage the parent journey from initial enquiry to registration and first day, acting as the friendly face for prospective families across multiple nurseries.
You will handle enquiries, tours, and follow-ups, coordinate communications, newsletters, events, and reporting. Strong relationship skills and organisational ability are essential for success in a remote role with occasional travel.
A little bit about us...
At Wildflower Day Nurseries & Preschools, we believe every child is a force of nature.
We have a wonderful group of nurseries across England and Scotland, each with its own personality, fantastic teams and little people who make every day interesting (to say the least!).
But here's the thing... before a family gets to experience everything Wildflower has to offer, they need to find us, get to know us and, most importantly, feel confident that we're the right place for their child.
That's where you come in!
So, what's the role all about?
We're on the hunt for a brilliant Family Engagement & Admissions Coordinator to become the friendly face and voice of Wildflower for prospective and existing families.
You’ll be responsible for managing the parent journey from that very first enquiry right through to registration and a child's first day.
Think answering enquiries, arranging tours, following up with parents, answering those all-important questions and helping families fall in love with what our nurseries have to offer.
And no, we’re not looking for someone who just sends a brochure and hopes for the best!
We want someone who genuinely enjoys building relationships, understands what parents are looking for and has the confidence to turn an initial enquiry into a registration.
You’ll also get involved in newsletters, parent communications, open days, events and reporting on how we’re performing across our nurseries.
It’s a varied role, so you’ll need to be organised, proactive and happy juggling a few things at once!
Making a brilliant first impression
Be the first point of contact for prospective families, whether that's over the phone, by email or through our website.
Get to know families, understand their childcare needs and help them find the right Wildflower nursery.
Arrange nursery tours and make sure parents know exactly what to expect when they visit.
Follow up after tours (because we don't believe in leaving people hanging!).
Answer questions, address concerns and confidently showcase everything that makes our nurseries special.
Keep on top of enquiries, registrations and future start dates using Famly.
Work closely with nursery managers to make sure availability and start dates are agreed before anything is confirmed.
Keeping our families in the loop
Coordinate monthly newsletters across our nurseries, making sure parents know about all the lovely things happening.
Create engaging communications that reflect our brand and personality.
Support parent communications, events and nursery initiatives.
Keep an eye on online reviews and make sure feedback is responded to professionally.
Look for ways to make the parent experience even better.
Events, open days & all things Wildflower
Help organise nursery open days and family engagement events.
Prepare promotional materials and make sure each nursery is looking its best.
Coordinate bookings and follow up with families after events.
Bring ideas to the table! We're always looking for new ways to get families through our doors.
Numbers, reporting & helping our nurseries grow
Track enquiries, tours, registrations and conversion rates across the group.
Produce weekly and monthly reports.
Spot trends, identify where we're losing enquiries and, more importantly, work out what we can do about it.
Work alongside our Marketing team and nursery managers to improve occupancy.
Keep things moving, follow up outstanding enquiries and make sure opportunities aren't missed.
We want someone who doesn't just report the numbers but actually understands what they're telling us!
This is the important bit...
We're open-minded about where you've come from, but we'd love someone who brings a little bit of experience and a whole lot of personality.
You might currently be:
Working in a nursery or early years setting and ready for something different.
Working in school admissions, childcare enrolments or education.
Working in a customer service or sales role where building relationships is your thing.
A parent yourself who understands just how much thought goes into choosing the right childcare (although this isn't essential!).
Have a good understanding of what parents look for when choosing childcare.
Be confident speaking to people and building relationships.
Have a natural ability to sell without being pushy. We want genuine conversations, not hard sales!
Be organised and able to juggle multiple enquiries and deadlines.
Have excellent written and verbal communication skills.
Be comfortable using Excel, Microsoft Office and databases.
Have a proactive attitude and be happy to get stuck in.
Be confident looking at figures, spotting trends and suggesting improvements.
Have a good eye for detail and take pride in getting things right.
Bonus points if you have used Famly, worked with CRM systems, created newsletters or have a little Canva creativity in you!
Someone who:

Has a bit of commercial awareness and loves seeing results.
Takes ownership, spots opportunities and doesn't wait to be told what to do.
Brings energy, enthusiasm and a positive attitude to the team.
