Job title: Facilities Manager

Role objective

We are seeking an experienced, commercially focused Facilities Manager to lead the delivery of facilities management services across a diverse portfolio of offices throughout Northern England.

This is a dynamic, hands‑on role with responsibility for ensuring our workplaces remain safe, compliant, efficient, and fit for purpose to support a growing business. Working closely with internal stakeholders and external service providers, you will oversee all aspects of facilities operations, including health and safety compliance, contractor management, workplace projects, office relocations, maintenance programmes, and continuous improvement initiatives across multiple locations.

The successful candidate will bring strong operational facilities management experience, excellent stakeholder management skills, and the ability to balance strategic priorities with day‑to‑day operational delivery. They will be proactive in identifying opportunities to enhance the workplace experience, improve service delivery, and ensure compliance with all relevant regulatory requirements.

Based primarily in our Harrogate office, the role requires regular travel to regional offices across Northern England to ensure a consistent and high‑quality facilities service is delivered throughout the estate.

Key responsibilities
Facilities & workplace management
  • Lead the delivery of facilities management services across a portfolio of office locations in the UK.
  • Ensure all offices are maintained to a high standard, providing safe, compliant, and productive working environments.
  • Manage planned preventative maintenance (PPM) schedules and reactive maintenance activities.
  • Oversee office services including cleaning, security, waste management, reception support, utilities, furniture replacement, office clearances, and building maintenance.
  • Conduct regular site visits and workplace audits to ensure consistency of standards across the portfolio.
  • Identify opportunities to improve workplace efficiency, utilisation, and employee experience.
  • Assist, where required, with due diligence on potential acquisitions.
Health, safety & compliance
  • Ensure compliance with all relevant health and safety legislation, statutory obligations, and company policies.
  • Manage compliance programmes including fire safety, risk assessments, asbestos management, water hygiene, electrical testing, and contractor control procedures.
  • Maintain accurate records and ensure statutory inspections and certifications are completed within required timescales.
  • Support business continuity planning and emergency response procedures.
  • Investigate incidents, identify root causes, and implement corrective actions where necessary.
Projects & minor works
  • Lead minor office refurbishment, fit‑out, and workplace improvements within the existing estate.
  • Coordinate contractors, consultants, landlords, and internal stakeholders to ensure projects are delivered safely, on time, and within budget.
  • Support business growth initiatives through the assessment and implementation of facilities and workplace requirements.
  • Develop business cases and cost proposals for facilities‑related investments and improvements.
Supplier & contract management
  • Manage relationships with facilities suppliers, contractors, landlords, and managing agents.
  • Procure facilities services in line with company policies and budget requirements.
  • Monitor supplier performance against agreed service levels and KPIs.
  • Conduct regular contract reviews to ensure value for money and continuous service improvement.
  • Support annual budgeting and expenditure forecasting processes.
Stakeholder engagement
  • Act as the primary facilities management contact for regional offices.
  • Build effective relationships with office leaders and departmental stakeholders.
  • Provide expert advice on facilities, workplace, health and safety, and property‑related matters.
  • Produce regular reports on compliance, projects, budgets, and facilities performance metrics.
  • Champion workplace initiatives that support employee wellbeing and engagement.
Person specification
Knowledge and experience
Essential
  • Proven experience in a Facilities Manager, Regional Facilities Manager, or similar role managing multiple sites.
  • Strong understanding of hard and soft facilities management services.
  • Experience managing facilities budgets, contracts, and external suppliers.
  • Sound knowledge of UK health and safety legislation and statutory compliance requirements.
  • Demonstrable experience delivering workplace, refurbishment, relocation, or office improvement projects.
  • Strong understanding of facilities operations, maintenance planning, and statutory compliance.
  • Experience using Microsoft Office and facilities management systems.
Desirable
  • IWFM Level 4 or Level 5 qualification (or equivalent).
  • IOSH Managing Safely, NEBOSH General Certificate, or equivalent health and safety qualification.
  • Experience within professional services, legal, financial services, corporate office, or multi‑site environments.
  • Knowledge of sustainability, ESG, and environmental management initiatives.
  • Experience supporting hybrid working and workplace transformation programmes.
