We are seeking an experienced and proactive Facilities Manager to oversee the operations and maintenance of a multi-site office portfolio across London. The successful candidate will be responsible for ensuring that all sites are fully operational, compliant, and safe, while delivering a high standard of workplace experience. This role includes the leadership and coordination of a maintenance team and liaising with key stakeholders across the business.

Key Responsibilities:

  • Portfolio Management: Manage the day-to-day operations across multiple office locations in London, ensuring facilities are maintained to high standards.
  • Maintenance Oversight: Lead, supervise, and support an in-house and/or outsourced maintenance team to deliver planned and reactive maintenance services.
  • Health & Safety Compliance: Ensure full compliance with all relevant legislation and best practice, including risk assessments, fire safety, statutory inspections, and building compliance.
  • Vendor Management: Manage external service providers, including contract negotiation, performance reviews, and ensuring SLAs/KPIs are met.
  • Budget Management: Develop and manage the facilities budget, track expenditures, and identify cost-saving opportunities.
  • Space Planning & Office Moves: Support office fit-outs, space planning, and internal moves to ensure optimal workplace layout and minimal disruption.
  • Sustainability Initiatives: Implement and monitor sustainability practices including energy efficiency, waste reduction, and environmental compliance.
  • Emergency Preparedness: Ensure all sites have up-to-date business continuity and emergency response plans in place.
  • Reporting: Maintain accurate records and reporting of maintenance logs, incidents, service performance, and improvement plans.

Requirements:

  • Proven experience in a Facilities Management role, ideally managing multiple office sites.
  • Strong technical understanding of building systems (HVAC, electrical, plumbing, etc.) and maintenance practices.
  • Excellent leadership skills with experience managing teams.
  • Good working knowledge of health & safety legislation and compliance obligations.
  • Strong organisational and project management abilities.
  • Ability to travel across sites regularly and manage a dynamic workload.
  • Proficiency in facilities management software (e.g., CAFM systems).
  • Budgeting and financial reporting experience.
  • IOSH or NEBOSH certification preferred.
  • IWFM qualification or equivalent is advantageous.
