Context for the role
  • Workplace Solutions (WPS) provides great workplaces for the business, colleagues, clients, and customers. We ensure M&G plc has the right property in the right location at the right time, demonstrating cost transparency, value for money, and providing the best user experience, all aligned with our risk management approach.
  • The Operations team in WPS manages the day-to-day running, operational performance, safety, and security of M&G’s property portfolio and incident management.
  • This role supports the Operations team in managing supplier relationships and contracts with third-party FM providers. It involves professional reporting, analysis of data sets, and dashboards.
  • Responsibilities include:
  • Maintaining workplaces that are safe, enjoyable, productive, secure, sustainable, and compliant
  • Managing the commercial, financial, and performance aspects of all third-party FM contracts and suppliers
  • Delivering quarterly performance presentations to the senior leadership team (SLT)
  • Planning for future estate needs and presenting new technologies and innovations
  • Supporting project delivery for operationally efficient workplace changes
  • Managing and delivering a strict audit regime
Key functions include
  • Supporting the Senior Leadership Team and other senior colleagues in managing and leading WPS
  • Overseeing management, auditing, planning, financial, operational, and risk controls related to:
  • Critical electrical, mechanical, plumbing assets, and civil engineering assets
  • Infrastructure supporting health, safety, and security policies
  • FM contract services, including mail, security, fabric, M&E, cleaning, landlord, and tenant management
  • Providing FM expertise for fit-out projects and operational readiness programs
  • Reviewing project O&M’s with engineering teams for accuracy and suitability
  • Managing third-party suppliers involved in estate management
  • Coordinating incident and crisis response plans with the global health, safety, and security assurance manager
  • Developing and governing all WPS property standards
  • Ensuring compliance with external regulations and guidelines, producing related reports
Key tasks and responsibilities
Facilities Management (FM)
  • Managing FM provider contracts, including:
    • Annual audits and supply chain audits, with quarterly reporting
    • Ensuring contractual KPIs are met
    • Maintaining risk registers, issue logs, compliance records, and rectification plans
    • Verifying supplier personnel meet contractual criteria
    • Including supplier performance in the Operations monthly report
    • Managing minor property projects (<£50k) and supporting larger projects (>£50k)
  • Providing expertise in facilities management and crisis response
  • Managing data sources and dashboards to identify improvement opportunities and generate reports for SLT
  • Conducting risk assessments and advising on control measures
  • Supporting the sustainability team with expert advice and ensuring equipment calibration
Commercial
  • Managing supplier relationships per the SRM program, including presentations to the SRM steering committee
  • Managing budgets, forecasts, invoice approvals, and debt management
  • Planning and executing lifecycle replacement programs with a 5-year outlook
  • Benchmarking value for money and tracking contractual obligations
  • Supporting the leadership of the Workplace Solutions team

  • Reviewing industry technology developments and presenting relevant innovations
  • Championing approved technologies to improve efficiency, reduce costs, or enhance user experience
  • Driving automation and data stream integration for more efficient decision-making

  • Relevant professional memberships (IWFM, RICS, CIoB, CIBSE, IET)
  • Experience managing multi-discipline FM contracts
  • Risk management expertise
  • Data analysis and reporting skills, capable of producing detailed reports for senior audiences
  • Knowledge of construction and CDM is desirable
