Qualifications

  • Two-year post-secondary diploma in Facilities Maintenance, Building Systems, Engineering Technician/Technology, Mechanical/Electrical trades, Construction, or related field.
  • Or completion of a recognized skilled trades apprenticeship.

  • Develop and maintain maintenance schedules for internal trades staff and contracted services using CMMS.
  • Coordinate preventive and corrective maintenance across multiple facilities with safety compliance.
  • Respond to emergent service needs by adjusting schedules and reallocating resources.

Job Title:

Facilities Maintenance Services Coordinator, Regular Full-Time

The Facilities Maintenance Operations Coordinator is responsible for planning, scheduling, and coordinating maintenance activities for City facilities to support the efficient delivery of services across a complex municipal asset portfolio. The position ensures compliance with regulatory standards, maximizes resource utilization, and maintains strong communication with internal staff, contractors, and client departments. This role is critical to ensuring operational reliability and public service continuity.

We maintain and improve the City’s buildings and facilities to ensure they are safe, efficient, and well-designed. Our team handles maintenance, repairs, and construction projects that support City operations and enhance spaces for staff and residents.

What you'll do...
  • Develop and maintain daily, weekly, and long-range maintenance schedules for both internal trades staff and contracted services using a Computerized Maintenance Management System (CMMS)
  • Prioritize and coordinate preventive and corrective maintenance activities across multiple facilities, ensuring adherence to legislation and safety protocols
  • Respond to emergent service needs by adjusting schedules, reallocating resources, and maintaining ongoing communication with stakeholders
  • Liaise with external contractors and internal departments to confirm readiness, access, and scope of scheduled work
  • Interpret technical documents including blueprints, equipment manuals, policies, and safety programs to support planning and decision-making
  • Monitor maintenance KPIs, track service delivery performance, and participate in compliance reporting and audit preparation
  • Initiate corrective actions for missed deadlines, contractor cancellations, or resource gaps, and support root cause analysis for recurring issues
  • Ensure scheduled work aligns with procurement by-laws, safety programs (e.g., Asbestos, Electrical, Backflow), and all applicable codes and regulations (TSSA, ESA, MOL, MOE, etc.)
  • Identify physical hazards reported through internal systems and coordinate timely resolution based on risk and resource availability
  • Serve as a key technical resource for field staff, supervisors, and managers in planning operational work
  • Other duties as assigned
  • Successful completion of a two-year post-secondary diploma in Facilities Maintenance, Building Systems, Engineering Technician/Technology, Mechanical/Electrical trades, Construction, or a related technical field; or successful completion of a recognized skilled trades apprenticeship program
  • Certification as an Engineering Technician, Certified Engineering Technologist, or licenced skilled trade certification would be considered an asset
  • Minimum three (3) years of planning and scheduling experience in facilities maintenance or a related field
  • Experience with contractor coordination, compliance standards, and asset management in a municipal or institutional environment is considered an asset
  • Proficient in CMMS and Microsoft Office Suite (especially Excel, Outlook, Word)
  • Strong ability to read technical manuals, blueprints, operating procedures, and legislative requirements
  • Proven problem-solving skills in high-change, service-driven environments
  • Excellent written and verbal communication skills for coordinating across departments and documenting in CMMS
  • Able to manage competing priorities, interruptions, and changing schedules while maintaining accuracy
  • Familiarity with policy interpretation and compliance requirements for building systems and municipal safety programs

  • Must possess and maintain a valid class "G" driver’s license
  • Must obtain and maintain a satisfactory criminal record check, including vulnerable sector
